*This is a one (1) year temporary part-time position. May possibly be extended based on the needs of the BIA Probate process.
POSITION SUMMARY: Probate & Estate Coordinator position to manage probate preparation responsibilities currently handled by BIA, with the long-term goal of backlog reduction and increased tribal self-governance. Document collection: Birth certificates, wills, probate letters, and any documents needed to complete the probate & estate heirship process. Will give quarterly progress reports on probate cases initiated, pending, and completed. Will give annual financial and performance reports submitted within 90 days after fiscal year end. This position is considered temporary, not to exceed a year, but with the possibility of a work extension based on the backlog of the BIA Probate process.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Will show compliance with 25 CFR Part 15 (Probate of Indian Estates).
- Will Adherence to BIA Trust Services Probate Handbook.
- Will show case processing timelines aligned with BIA benchmarks.
- Will comply with any and all other duties assigned by the Enrollment Director.
- Will comply with any and all other duties assigned by the Tribal Administrator.
REPORTS TO: This person will directly report to the Enrollment Director. This position has no supervisory authority.
PHYSICAL DEMANDS: Employee must be able to climb, crouch, pull, push, reach, stand engage in repetitive motions, grasp, feel, touch, speak, hear and see.
Employee must be able to move and lift computing equipment.
WORK ENVIRONMENT: Office setting
Work Schedule: Monday-Friday, Some weekends. (Flextime, if needed) / 29 hours a week
Travel Required: Occasional to none
QualificationsQUALIFICATIONS:
- Familiarity with probate processes, wills, affidavits of family history, and trust land ownership.
- Minimum of associate’s degree or equivalent experience in legal studies, records management, or tribal administration.
- Ability to coordinate with BIA Anadarko Agency Probate Office and the Comanche Nation Realty Department and assist any tribal entity that has interest in probate requirements.
- Experience with Microsoft Office (Word, Excel, Outlook) and general database or case tracking systems.
