Job Description

Key Responsibilities
Inventory & Data Capture
Collect, validate, and document detailed information on enterprise print and mail jobs across multiple business units
Build and maintain a centralized inventory including:
Business ownership and purpose
Job type, volume, and frequency
Regulatory or compliance considerations (as applicable)
Job Specification & Materials Documentation
Capture and standardize job-level specifications, including:
Materials (paper types, envelopes, inserts, finishing)
Print requirements (color, format, finishing specifications)
Fulfillment and distribution methods
Ensure consistency, completeness, and accuracy across all documentation
Vendor & Process Collaboration
Engage with internal stakeholders and external vendors to:
Understand production workflows and timelines
Validate job specifications and frequency
Identify gaps, inconsistencies, or opportunities for improvement
Support documentation of vendor-specific processes and workflows
Data Management & Analytics
Structure and maintain datasets in Excel and SharePoint
Ensure strong data governance practices, including version control and data quality validation
Support data cleansing, normalization, and preparation for reporting
Dashboard Development & Reporting
Support the design and development of Power BI dashboards to:
Visualize job inventory, volumes, and trends
Provide visibility into materials usage and vendor distribution
Translate raw data into clear, actionable insights for operational and leadership audiences
Assist in building reporting views to support decision-making and transformation tracking
Delivery & Work Management
Operate effectively in a hybrid work environment, balancing independent work and team collaboration
Demonstrate the ability to:
Work autonomously with minimal supervision
Stay aligned with evolving priorities and requirements
Manage workload and consistently meet deadlines
Maintain regular communication to ensure progress and alignment
Continuous Improvement & Innovation
Identify opportunities to improve data capture, workflow efficiency, and reporting capabilities
Propose enhancements to data structure, inventory tracking, and dashboard design
Contribute to broader initiatives such as digital adoption and print optimization
Qualifications / Skills
Core Skills
Strong attention to detail and accuracy
Excellent organizational and time management skills
Ability to work both independently and in a team environment
Proven ability to manage multiple priorities and meet deadlines consistently
Resourceful problem-solving mindset
Technical Skills
Proficiency in Microsoft 365 tools, particularly:
Excel (data structuring, formulas, pivot tables preferred)
SharePoint (lists, document libraries)
Exposure to or experience with:
Power BI (preferred) – dashboards, data visualization, or reporting
Analytical & Communication Skills
Ability to interpret data and identify trends or inconsistencies
Strong verbal and written communication skills
Ability to clearly present information and insights
Other Attributes
Curious, analytical, and detail-oriented mindset
Creative thinker with interest in improving processes and reporting
Self-motivated with strong accountability in a hybrid environment
Education / Experience
Currently enrolled in a post-secondary program in:
Business, Operations, Data Analytics, Information Systems, or related field
Experience with data analysis, reporting, or documentation is an asset
Interest in operations and data-driven transformation

Working Arrangement

Hybrid

Salary range is expected to be between

$43,875.00 CAD - $73,125.00 CAD

Employees also have the opportunity to participate in incentive programs and earn incentive compensation tied to business and individual performance. The actual salary will vary depending on local market conditions, geography and relevant job-related factors such as knowledge, skills, qualifications, experience, and education/training.
