
As the first point of contact for clients and guests, this role blends administrative excellence with a trauma-informed, compassionate approach to care. You will play a vital part in connecting individuals and families to the right support at the right time.
Reception & Comfort Care: Serve as first contact for all phone inquiries, walk-ins, and appointments. Provide trauma-informed assistance, route inquiries, and stock client comfort items.
Core Administration: Manage the main telephone line. Receive, sort, and direct emails, mail, and deliveries. Maintain inventory and order office supplies.
Data & Reporting: Maintain agency spreadsheets, databases, and statistical reports. Process client and agency information into databases and files.
Documentation & Logistics: Draft correspondence, memos, and reports while maintaining strict confidentiality. Coordinate staff travel and accommodation bookings. Track agency vehicle use, scheduling, and rental bookings via the vehicle management app.
Community & Team: Participate in outreach, attend inter-agency meetings, and support agency events and fundraising across locations.
Minimum 2 years of experience in a receptionist or administrative role.
Experience or education in mental health, human services, healthcare, or social services is an asset.
Proficiency with Microsoft Office and database platforms.
Ability to work with children and families in stressful situations with sensitivity to the impacts of trauma.
Valid Alberta Driver's License, reliable vehicle, and satisfactory Criminal Record Check (Vulnerable Sector) and Child Intervention Check.
