Associate/ Senior Associate -

Job Title: Pricing & Proposal:Associate/ Sr Associate - Proposal

Shift Timings: 5:00 PM to 2:00 AM IST

of the Position:

The Proposal Specialist is responsible for developing, preparing, and writing high‑quality proposals for large, complex solicitation requests, including RFPs, RFQs, and RFIs. This role leads and coordinates the end‑to‑end proposal development process, ensuring timely inputs, reviews, and approvals across cross‑functional teams such as Legal, Risk, and Pricing. The position ensures all proposals are accurate, compliant, and compelling, provides support to Proposal Managers on major pursuits when needed, and works closely with the Pricing Management team to assist with price‑increase activities, pricing analysis, and other related requests.

Functional Requirement:

1. 3 – 5 years of experience in proposal development, including RFP/RFQ responses and bidding process.

2. Industry experience in industrial cleaning acrossrefining, petrochemical, and manufacturing environments

3. Strong understanding of U.S. business practices, including proposal compliance, contract terms, and customer expectations.

4. Familiarity with U.S. federal,state, and commercial solicitation formats (e.g., RFP, RFQ, RFI structures, compliance matrices, and submission protocols)

5. Excellent English communication skills, including strong reading, writing, and verbal proficiency.

6. Team player with strong commitment to responsibilities and excellent attention to detail.

7. Experience with SQL and Power BI is an added advantage.

8. Able to work independently with minimalsupervision.

Technical Skills:

1. Strong RFP/RFQ/proposal and bidding knowledge

2. Advanced MS Office skills(Excel, Word), with experience in SharePoint and Harmonie.

3. Proficient in PDF editing (Adobe)

Academic Background:

Required: High School + Proficiency in English and good analytical skills

Preferred: Bachelor’s Degree/B Tech with proposal development background

s: Development of Bid/Tender Responses: Read and review solicitations/requests to develop a detailed action plan for accurate and compliant responses.

 Lead conference calls and meetings to gather required information, develop clarifying questions, and coordinate pricing reviews to ensure accurate bid responses.

 Maintain and update boilerplate content and core company information to ensure all proposal materials remain accurate and current.

 Coordinate the complete Bid Approval Process, including Legal review, internal reviews, and signature approvals.

 Collaborate with internal teamsto gather and validate company information used in proposals.

 Organize and lead pricing review calls for opportunities and prepare final bid response documents for submission.

 Should have experience working with both online and offline bidding portal processes and submission requirements
