Job Description

Takkion Ops Management is seeking a highly organized and detail-oriented Prevailing Wage Compliance Administrator to support certified payroll operations under the Davis-Bacon Act. This role is responsible for coordinating payroll-related compliance activities across multiple construction projects, ensuring adherence to federal, state, and local prevailing wage regulations.

The ideal candidate will serve as a key liaison between internal and external operations, subcontractors, and internal payroll teams—facilitating subcontractor onboarding, tracking project status, mobilization/demobilization, wage determinations and supplemental wage request (SWR) submittals, and ensuring accurate and timely payroll reporting with subcontractors through compliance platforms such as Dili.

This position plays a critical role in maintaining regulatory compliance and supporting efficient project execution in a fast-paced, high-volume environment.

Essential Duties & Responsibilities:

  • Participate in project kickoff calls and maintain detailed tracking logs, including mobilization dates, scope of work, wage determinations, Statement of Work, signed contract dates and SWR submittals.
  • Engage subcontractors to collect required project and payroll information, coordinate onboarding and handoff to the Dili platform team for prevailing wage setup and reporting.
  • Issue weekly communications regarding payroll submission status, flagged payrolls, and outstanding compliance items and overall project status.
  • Partner with Payroll to resolve outstanding items related to self-performed work by project.
  • Develop and maintain Standard Operating Procedures (SOPs) for compliance processes for both subcontractors and internal Operations teams.
  • Assist with uploading payroll and apprenticeship documentation; perform data entry as needed in client portals, Department of Labor systems, and other compliance platforms.
  • Respond to subcontractor payroll inquiries, providing guidance or escalating issues as needed.
  • Utilize advanced Excel skills to develop, maintain, and analyze payroll and compliance reports.

Requirements

Qualifications:

  • Minimum of 2 years of administrative experience in a high-volume, detail-driven environment.
  • Demonstrated experience managing reporting and data accuracy under tight deadlines.
  • Strong understanding of prevailing wage regulations and compliance requirements (Davis-Bacon preferred).
  • Exceptional attention to detail with a high level of data-entry accuracy.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Support year-end payroll processes, internal audits, and regulatory reporting requirements.
  • Perform additional duties assigned to support payroll operations and compliance initiatives.

Preferred Qualifications:

  • Experience in construction industry.
  • Familiarity with certified payroll systems or compliance platforms (e.g., Dili).

Physical Requirements:

  • Sitting: Majority of the workday will involve sitting at a desk using a computer
  • Standing/Walking: Occasionally required for tasks such as retrieving files or attending meetings
  • Lifting: May occasionally be required to lift and carry office supplies or files weighing up to 20 pounds
  • Dexterity: Frequent use of hands to operate office equipment such as a computer keyboard, mouse, and phone
  • Vision: Close vision required for computer and paperwork tasks; ability to adjust focus and read small print or electronic displays
  • Hearing/Talking: Regularly required to communicate verbally with employees and vendors via phone or in-person
  • Repetitive Motion: Repetitive movements of the wrists, hands, and fingers during daily tasks such as typing
