As our Premises Specialist you’ll play a key role in coordinating facilities services, supporting property records and maintenance programs, and helping our premises team deliver safe, efficient spaces across the organization.

What’s the role?

Reporting to the Manager, Premises, the Premises Specialist helps keep our locations safe, functional, and ready to support employees, members, and communities across Coastal Community. In this role, you’ll coordinate facilities services, support vendors and contractors, maintain property records, and help manage repairs, maintenance programs, and business continuity activities. You’ll also assist with space planning, service requests, and premises-related updates, making this a great fit for someone who is organized, responsive, and comfortable coordinating details across multiple locations.

Your duties will include:

  • Contributes ideas to the development and assists with documenting the annual operating plan, budget, and targets for the Premises Department
  • Coordinate day-to-day operational relationships with approved premises vendors and contractors, in alignment with Procurement policies and approved vendor records
  • Assess and troubleshoot premises situations that impact daily business operations in a timely manner
  • Monitor and track facility requests, repairs and deficiencies, identify trends or issues and provide recommendations to the Manager, Premises and/or AVP, Capital Projects & Facilities
  • Maintain and update inventory records of all furniture, equipment and assets
  • Manage preventative maintenance programs and schedules to ensure service levels are per contracts and service agreements
  • Develop operational service requirements and coordinate requests for pricing with Procurement, in accordance with applicable purchasing procedures
  • Liaises with internal business units and external vendors to coordinate and implement changes to premises to accommodate incoming and outgoing staff and contractors (e.g. relocations, office planning and new furniture requirements) with minimal interruptions to business operations
  • Maintains accurate records for the Premises Property Information System, including but not limited to expirations and renewals of service contracts, inventory of current floor plan drawings, independent contractor agreements, privacy policy agreements, security runner service, signage maintenance, utilities, fire inspections, HVAC maintenance, cleaning agreements, furniture, landscaping, elevator maintenance, and roofing maintenance
  • Supports and coordinates the integration process with Integris Credit Union by managing the collection, organization, and transfer of facilities-related information

Career Band Range (Annual Salary) $60,217.00 - $75,582.00

The posted salary range is designed to reflect a broad career band, encompassing a variety of roles within our organization and serves as a general guideline. Your final compensation will be tailored to your unique skills, experience, and the responsibilities of the role.
