THE OPPORTUNITY

The Preconstruction Coordinator supports the early phases of every pursuit — managing bid coordination, subcontractor outreach, organizing project documentation, and keeping accurate records across Procore, Building Connected, Sharepoint and Compass. You keep the bid process organized, on schedule, and well documented.

This role is ideal for someone detail-oriented, tech-savvy, and eager to grow in the construction industry.

WHAT YOU'LL DO

  • Set up bid files in Procore and SharePoint/OneDrive and timestamp and track all incoming plans, specs, and project documents.
  • Support the Preconstruction Team with bid solicitation, plan and specification distribution, printing needs, and filing of all preconstruction-related documentation. Maintain current bid status and subcontractor database in Building Connected
  • Track responses, addenda, and subcontractor communications.
  • Assist with scope review meetings and proposal assembly.
  • Work with the Prequalification Coordinator to identify and prequalify all new subcontractors.
  • Become proficient in and utilize Building Connected, Compass, SharePoint, and Procore to support preconstruction team logistics and administrative needs.
  • Create meeting agendas, minutes, drawing logs, and RFI logs and distribute them promptly.
  • Set up preconstruction meetings — conference rooms, virtual invitations, agendas, materials, display boards, sign-in sheets, and contact spreadsheets.
  • Set up project framework in Procore, entering subcontractor, consultant, architect, and owner contact information, and maintain the action items list.

WHAT YOU BRING TO THE ROLE

Experience & Education

  • Associate's or Bachelor's degree in construction management, engineering, or a related field preferred.
  • Experience: 2–5 years of administrative, estimating support, or coordination experience.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Comfortable making outbound calls and engaging with external stakeholders.
  • Ability to manage multiple tasks and deadlines independently.
  • General understanding of construction terminology.

Certifications & Licenses

  • Reliable transportation and a valid Florida driver's license.

Skills & Attributes

  • Proficient with Microsoft Office, Bluebeam, Adobe Acrobat, Compass, Procore, Building Connected, On-Screen Takeoff, Destini Estimating, and Sage Timberline (preferred).
  • Highly organized, detail-oriented, and able to manage multiple deadlines independently.

  • Attend subcontractor outreach events to represent Hedrick Brothers Construction and support the company’s efforts to develop and maintain subcontractor relationships.Frequent use of hands and fingers for repetitive tasks such as keyboard, phone, and filing.
  • Occasionally lifts, pushes, pulls, or carries up to 50 pounds; regularly up to 25 pounds.
  • Occasionally bends, stoops, or stands on a stool to access files and materials.
  • Requires close and distance vision, depth perception, and the ability to adjust focus.
  • Requires the ability to communicate clearly and hear conversation in person and by phone.
