Job Description

OB SUMMARY:

ThePre-Visit Planning CoordinatorIIwill serve patients byreceiving,reviewingand reconciling patient registrations,clinicalchecklists,incoming medical records,requiredconsents and screening tools in advance of scheduled provider appointmentswhile providing an excellent patientand providerexperience.Additionalresponsibilities includecollaboration with Risk department forfocusreview and outreachofdocumentation as it relates tolegaldecision makingauthority, such as Guardianship, Health Care Power of Attorney, Custodyordersandvariations of these types.

SPECIFIC RESPONSIBILITIES:

  • Receive,reviewand evaluatepatient demographicand legaldecision makingauthorityinformation andrequiredauthorizedsignatures

  • Outreach to referral sources, community agencies, assignedguardiansand othersdesignatedwith legal decision-making authority to obtain valid and current proof of authority status.

  • Work in the Patient Document Assistant program to send receive,trackand assign documentation status and state

  • Useclinical checklists to ensureappointment typerequirementshave beenreceived

  • Outreach to patient for any missingoradditionalrequired information

  • Regular reviewand scheduling ofannual wellnessvisitand well child visits

  • Upload approved documents into EHR

  • Documentation inElectronicHealthRecordandMAHECIT systems toflag or relay informationwith the providers

  • Monitor work queues for incomingpatientor providers messages

  • Re- scheduleappointmentswhenrequired

  • Confirms preferred pharmacy information.

  • Coordinate interpreting services for patients

  • Answer phones, checkand respond tovoicemails

  • Participate in orientationand trainingofnew staff

  • FloatwithinPre-accessfunctions as andwhen needed

  • Participate in process improvement of new and existing workflows

  • Actively embraces and supports divisional and organizational initiatives

  • Participate in outreach initiatives, community events, and seasonal clinics

  • Performs outreachreminder callstohigh riskhigh acuity patientsas defined

  • COMPUTER

  • Training and experience in types of Legal decision-making Authority documentation, and the principles of review and approval.

  • Mid- Level toAdvanced computer skills asit relatesto working with medical office software program(s)

  • Experience with Electronic Health Records; patient privacy and security tenants.

  • FOREIGN LANGUAGE

  • Ability to speak Spanish strongly preferred.

  • OTHER

  • Knowledge of medical office functions including business officework flows

  • Basic medical terminologyproficiencypreferred.

EDUCATION AND EXPERIENCE

  • MINIMUM QUALIFICATIONS:

Training/experience in Guardianship or other LegalDecision-makingauthority documentation types and principles

Any combination of education and experience equivalent to the following: High school diploma or equivalent, two years of relevant experience, orcomparable combined education and/or experience required

  • PREFERRED QUALIFICATIONS:

  • Previouscustomer serviceexperience in a medical office/clinical environmentcall centerpreferred.

SCHEDULE:

  • Regular attendance on-site is an essential function of this position. Typical business hours are Monday – Friday, 8:00 am to 5:00 pm (or flexed to best meet the needs of the clients and/or the Division);40 hoursper workweek; weekend, holiday, or evening coverage is occasionallyrequired Work hours will need to be flexiblein order torespond to special work assignments, or evening activities, as requested by the team leader.

COMPENSATION:

  • $22.70/hr + MAHEC Total Rewards Package

The Mountain Area Health Education Center (MAHEC) is a leader in healthcare practice, education, innovation and research. It is also a branch campus of the UNC schools of medicine, dentistry, pharmacy, and public health. the home of UNC Health Sciences at MAHEC and UNC Asheville-UNC Gillings Master of Public Health (MPH) Program.
