Job Description

CCL Clinical Systems, Inc. is seeking a highly organized and detail-oriented Pre-Project Coordinator to support the initiation and planning of clinical trial labeling projects. This role is responsible for preparing project quotations, gathering and reviewing customer requirements, coordinating project setup activities, and ensuring all necessary information is in place prior to production and project execution.

The Pre-Project Coordinator serves as a critical liaison between customers and internal teams, translating clinical study requirements into actionable job specifications while supporting operational excellence in a regulated clinical trial environment.

Qualifications

Essential Duties and Responsibilities

Customer Communication & Support

  • Serve as a point of contact for customers and customer representatives regarding assigned projects.
  • Communicate project requirements, timelines, and scheduling details.
  • Respond to customer inquiries in a professional and timely manner.
  • Build and maintain positive customer relationships.

Project Planning & Coordination

  • Prepare and coordinate quotations for clinical trial labeling projects.
  • Gather, review, and interpret customer specifications and study requirements.
  • Translate customer-provided information into detailed project requirements and job specifications.
  • Coordinate project setup activities and ensure all required documentation is complete.
  • Assist with project scheduling and resource planning.
  • Maintain accurate project records and documentation.

Documentation & Quality Review

  • Proofread customer documentation, quotations, labels, and related materials for accuracy and completeness.
  • Verify project information and requirements prior to project release.
  • Ensure compliance with company procedures and quality standards.
  • Identify discrepancies and work with customers and internal teams to resolve issues.

Operational Support

  • Collaborate with internal departments to support project readiness and successful execution.
  • Assist with day-to-day departmental operations as needed.
  • Participate in continuous improvement initiatives and process enhancements.
  • Perform additional duties as assigned.

Qualifications

Education

  • Associate degree in Business Administration, Life Sciences, Healthcare Administration, Project Management, Communications, or a related field preferred; or
  • Equivalent combination of education, training, and relevant work experience.

Experience

  • 1-3 years of experience in project coordination, customer service, administrative support, printing/packaging, pharmaceutical, healthcare, or related industries preferred.
  • Experience in a regulated environment is a plus.

  • Ability to manage multiple projects and deadlines simultaneously.
  • Knowledge of clinical trial studies and clinical labeling processes preferred.

Working Conditions
