The Practice Operations Manager will join the Urgent Care Department at Beth Israel Deaconess - Milton, working fully onsite at their Urgent Care location in Quincy, MA.

Reports to the Nurse Director | Practice Administrator for Quincy Urgent Care Center for overall operations of this role. This role provides day-to-day oversight, management, and program development of the Urgent Care and Medical Specialties Departments, in addition to oversight of the building operations, while assuring the highest order of quality and efficiency in practice operations, resource utilization, and system integration.

Duties and Responsibilities:

  • Implements organizationally approved business plan reflecting strategies, objectives, timetables, measures, and expected outcomes.

  • Participate in the interview process, hiring and onboarding of practice support staff. Establishes and maintains employee records reflecting hospital requirements.

  • Provide daily supervision of Programs staff and establishes work schedules to provide maximal support of Programs services, in conjunction with Nurse Director/Practice Administrator.

  • Develop and implement daily operational work flows and processes maximizing to include, but not limited to: Patient outcomes; treatment expertise and preference by provider or specialty; visit volume; and interdepartmental structure. Project management and program/operational development of the Urgent Care and Medical Specialties Departments to meet budgeted targets.

  • Maintains schedules of all staff within this site in addition to daily supervision of non-clinical staff, establishes work schedules to provide maximal support of services, in conjunction with the Nurse Director | Practice Administrator, Medical Director of Urgent Care, Specialty Center, and BILH PC Leadership in a 7 day per week operation to include imaging, laboratory services, and all building related maintenance.

  • Will also oversee front desk reception and know the processes involved with patient check-in, and appointment scheduling. Implement and adhere to all fiscal policies of referral management, co-pay collection, and all revenue cycle activities.
    Assist with onboarding, and marketing new providers at the Quincy Urgent Care | Care Center.

  • Appropriately address and as necessary refer performance/behavior issues to the Nurse Director/Practice Administrator. Works with Director in the establishment and implementation of employee performance improvement related activities.

  • Fosters an atmosphere of open and responsive communication among members of the team.
    Maintains open communication with staff, patients and the public. Fosters a positive image by encouraging effective internal, external communication in addition to collaboration with network affiliates.

  • Coordinates and provides leadership to all multidisciplinary team meetings to include prepared agendas and minutes.

  • Travel-Periodic travel for the purpose of outreach, marketing, and assisting with clinics at off-site affiliate locations is required.

  • Assure seamless integration of the Programs within the hospital organization specifically with services/departments including Radiology, Laboratory, Inpatient Nursing, Surgical Services, Rehab, Patient Accounts, Information Technology, and Medical Records.

  • Collaborate with Director, VP and Medical Directors in promoting physician alignment. Participate in meetings to identify and evaluate opportunities to improve Program workflow and processes and then operationalize those initiatives to include marketing and strategic outreach.

  • Implement and adhere to all fiscal policies of referral management, co-pay collection, and billing processes.

  • Assist in establishing and maintaining regulatory compliance related to all operations within the Building where applicable. Maintain awareness of current regulations and standards affecting assigned areas of responsibility through ongoing professional development. Collaborates with Director to interpret new regulations and requirements and oversees their implementation in daily work assignments. Attends seminars, workshops, and maintains professional affiliations to keep abreast of latest trends in field of expertise.

  • Actively participates in the designated hospital-wide committees as appropriate

  • Assist in the development and assure achievement of budget projections for the Programs and monitoring of Urgent Care Volume, Referral Sources, and Dashboard metrics.

  • Employee maintains competencies (position specific and hospital-wide) required for the specific patient population served.

  • Perform all duties in accordance with safety and other laws, rules and regulations as set forth by appropriate regulatory and government agencies and in accordance with established department and hospital policies and procedures.

  • May be required to perform similar or related duties reflective of the level of experience as may be necessary on an emergency, temporary or limited basis or as designated by the Director / VP or their designee.

  • The nature of the tasks/responsibilities required of employees in this position will likely expose them to blood and body fluids. Employees will be oriented to and required to understand and follow universal precautions for infection control. A summary list of tasks/procedures which may cause exposure to blood and body fluids is listed on the attached Physical Abilities Job Description.

  • Collaborate with Public Relations staff to promote marketing initiatives that sustain the volume projections of the Quincy Care Center.

Qualifications:

  • Min Education: Bachelor’s Degree in a related field preferred or experience in the healthcare field. Master’s Degree in healthcare preferred.

  • Min Experience: 1-2 years practice management experience in a medical office and/or ambulatory setting.1-2 years supervisory experience required.

  • License/Certification: Current CPR certified

  • Skills: Working knowledge of Microsoft Office Suite, Including Outlook, Work, Excel and PowerPoint, plus familiarity with healthcare scheduling and billing software. Demonstrates skill in service excellence including active listening, problem solving, and the ability to remain calm in any emotional or stressful situation. Demonstrates attention to detail, strong organizational skills with ability to prioritize multiple tasks and to work independently. Able to communicate effectively in writing and verbally in a professional manner. Must be proactive, adaptable, and flexible in dealing with a variety of people. Personal maturity is an important attribute.

Pay Range:

$100,000.00 USD - $130,000.00 USD

The pay range listed for this position is the annual base salary range the organization reasonably and in good faith expects to pay for this position at this time. Actual compensation is determined based on several factors, that may include seniority, education, training, relevant experience, relevant certifications, geography of work location, job responsibilities, or other applicable factors permissible by law.
