Job Description

Our Community Care Breast Surgery office is looking for a Full-Time Practice Coordinator to join their team! This is a 40 hour week. The hours are: Monday-Friday 8:00am-4:30pm.

Essential Functions include, but are not limited to:

  • Coordinate aspects of day-to-day office operations including the coordination of all office tasks and duties, patient registration, telephone reception and triage, appointments, referrals, medical transcription, ordering of supplies, review of purchase orders and invoices, review of packing slips and forwarding of packing slips to purchasing clerk, and maintenance of equipment and instruments.
  • Schedule appointments for patients either by phone when they call in or in person after an office visit.
  • Use manual/computerized system to match physician/clinician availability with patient’s preferences in terms of date and time.
  • Maintain scheduling system so records are accurate and complete and can be used to analyze patient/staffing patterns.
  • Prepare payroll accurately and in a timely fashion, in accordance with established Community Care procedures.
  • Prepare daily deposit and cash reconciliation report.
  • Identify issues that affect patient satisfaction and develop an action plan to address and resolve problems to discuss with Supervisor.
  • Assist CBO Billing Department with appeals when services are denied by third party payers.
  • Help coordinate physician and non-physician provider work and CME schedules.
  • Coordinate maintenance of medical records, including copying and forwarding of records to other physicians, attorneys and insurance carriers in compliance with applicable sections of the NYS Public Health Law.
  • Create and ensure a working environment that protects patient confidentiality and the privacy of medical information.
  • Coordinate Site response to charts requested by third party payers for purposes of conducting audits.
  • Work with Site Medical Manager and Human Resources on employee relation issues, recruitment, benefits, corrective action and terminations, according to established Community Care procedures, if needed.
  • Work closely with Human Resources regarding recruitment, leaves, disabilities, resignations, documentation, etc. according to established procedures.
  • Act as the liaison between Site Medical Manager, CBO Management and Staff.
  • Meet with Site Medical Manager on a regular basis and keeps him/her informed regarding issues of importance.
  • Understand and comply with all Community Care policies and procedures, including those pertaining to patient confidentiality, financial and regulatory compliance.
  • Work closely with CBO staff by providing information necessary for credentialing all practitioners at the Site.
  • Work closely with CBO and laboratory staff to help resolve demographic and/or billing errors.
  • Work with practitioners and CBO staff to ensure accurate, compliant coding and charge entry.
  • Attend and participate in semi-monthly management meetings at the CBO, and other meetings as needed.
  • Attend informational and/or educational meetings dealing with insurance issues, billing, coding and other aspects of practice operations.
  • Use those portions of Community Care’s practice management information system that are needed for site operations for daily office tasks.
  • Ensure timely transmission of encounter forms for charge entry, in accordance with established Community Care procedures.
  • Implement and maintain protocols at the Site as directed by MedSafe and the Chief Compliance Officer.
  • Work closely with human resources to maintain employment-related medical records, as required by the risks and responsibilities of his/her duties.
  • Review and act in a timely manner on monthly financial reports, missing encounters, claim attention and write-off reports, in accordance with established Community Care procedures.

Compensation: $21- $28 per hour

CCP salary ranges are designed to be competitive with room for professional and financial growth. Individual compensation is based on several factors unique to each candidate, such as work experience, qualifications, and skills. Some roles may also be eligible for overtime pay.

Qualifications

  • Effective communication skills in answering patient inquiries, whether by telephone or in person; while maintaining high standards for patient service.
  • Maintain a high level of confidentiality, discretion, professionalism and work well independently.
  • Solid interpersonal skills to establish/maintain cooperative and productive relationships while providing quality service.
  • Excellent PC skills.
  • Strong understanding of national, state and local regulations and laws as they pertain to the healthcare industry.
  • Ability to communicate clearly and concisely in a proactive, persuasive manner.
  • Strong time management, patient relations, multitasking and telephone etiquette skills.
  • Knowledge of medical practice protocols related to scheduling appointments.
