Practice Coordinator

At Buckingham Vets for Pets we’re looking for a highly organised individual to join our practice where you’ll be providing a professional and efficient administration service to our clients, delivering a first-class service in customer care.

We’re a busy, small animal practice with a friendly and dedicated team, where every team member is valued, supported, and encouraged to have a real impact on the way we work.

This is a full-time role over 40 hours per week and will include 1 in 4 Saturdays.

This is a varied position combining administration, reception, and social media co-ordination. You’ll be the welcoming face of the practice, supporting our clients and their pets while also helping us share our story online.

Administrative Duties include:

  • Overseeing daily practice operations, including Vet rotas, staff schedules, and all administrative tasks
  • Reports directly to the Joint Venture Partner (JVP).
  • Managing insurance claims and chasing outstanding payments, daily cashing up and banking.
  • Supporting clients, including handling sensitive bereavement cases
  • Maintaining policies, procedures, and SOPs
  • Assisting with compliance, Practice Standards, and KPIs
  • Monitoring absences and conducting return-to-work meetings
  • Managing Vet and Reception Rotas
  • Manage the day-to-day diary.
  • Coordinating diaries, holidays, and locum cover
  • Anchor practice meeting with the (Joint Venture Partner) JVP and sharing team updates
  • Liaising with payroll and banking teams, and managing stock control
  • Supporting CPD activities and managing social media
  • Dealing with staff recruitment.

Reception Duties include:

  • Booking and managing appointments using practice management software
  • Manage the Reception team.
  • Drive the business plans and growth through the pets careplan.
  • Welcoming clients and their pets in a professional and sensitive manner
  • Recording and managing client communications
  • Communicating effectively with both clinical and non-clinical teams
