The Role

We are seeking an outstanding practice administrator who thrives on energy, organisation, and making things happen! If you're the kind of person who loves bringing structure to a fast-paced environment and gets a buzz from keeping everything running like clockwork, we want to hear from you.

This opportunity will see you work alongside a dynamic and impactful Partner in one of Australia's leading law firms. As an integral part of our Perth Corporate team, you'll be at the heart of the action — providing exceptional administrative support where needed, and at times to their wider team. We're looking for someone who doesn't just manage the day-to-day but owns it. You'll bring your expertise, initiative, and proactivity to ensure the practice runs seamlessly, within a supportive and collegiate environment.

Key Responsibilities

  • Provide high-level secretarial and administrative support
  • Take charge of diary management, including organising client meetings and facilitating travel arrangements
  • Manage the billing process and accounts on a monthly basis, including client reporting requirements
  • Inbox management and proactive prompts to stay on top of responses
  • Excellent file management, including the opening and closing of matters
  • Undertake conflict searches on the firm's database and prepare conflict emails with efficiency
  • Manage expenses, reporting and billing hygiene
  • Administer quality and risk responsibilities for the Practice, ensuring compliance at the highest level
  • Be a team player, someone who jumps in, takes initiative, and actively contributes to the smooth operation of the practice

Skills & Experience

  • Proven and distinguished experience in a legal administrative role, or similar position within a corporate environment
  • Strong communication skills — across the team, the wider firm, and our clients
  • Experience in billing processing using Aderant Expert (or a similar billing system) is preferable
  • A proactive, solutions-focused mindset with a genuine drive to contribute to the success of the practice
  • A natural ability to build and nurture positive relationships with Partners and colleagues
  • Exceptional multitasking and prioritisation skills
  • Advanced technical skills (Outlook, Word, Excel, and PowerPoint) paired with meticulous attention to detail
