Responsible for the day to day operations of the practice. Provides administrative leadership and support to the practice across the clinic locations and surgery center. Ensures quality services are provided according to established policies and procedures and provides administrative leadership to the practice. Responsible for working in collaboration with practice physician(s) to manage overall operations. Responsible for ongoing evaluations at facilities and for developing and implementing measures for staff evaluations. Coordinates with HR to establish staff performance standards, transfers, promotions and employee relations concerns.
Pay Range - $130,000- $145,000/Yr. Commensurate with experience
Responsibilities
General Operational Responsibilities
- Manages day-to-day operations for five office locations between and in-office surgical suite
- Identifies and recommends procedural changes and solutions for inefficiencies practice-wide
- Act as a liaison for the providers to relay any clinical, operational or other issues the providers may have via appropriate channel
- Meet with the Regional Director of Operations and Physician leadership on a regular basis to provide recommendations, reporting, and insights
- Develop insights and recommendations based on supported data and analytics to drive optimal clinical and surgical performance
- Assist with other local governance areas as defined by EyeSouth and Practice MD Managers
- Assists with special projects as defined by Regional Director of Operations
Clinic Operations
- Manages Clinical Technician Manager
- Identifies recurring patient care issues and seeks to find solutions
- Oversees use of EHR and PM software solutions and regularly identifies and recommends areas for improvement, including relationship management with specific vendor reps
Front Office Operations
- Manages Office Managers
- Ensures the efficient and effective administration of the Front Office
- Conducts monthly managers meetings
Surgery Scheduler Operations
- Reviews and confirms upcoming surgery schedule and communicates updates providers and ASC management
- Troubleshoots issues daily pertaining to patient care and scheduling
- Conducts monthly surgery meetings with the ASC Nurse Manager and ASC Office Manager
Human Resources & Compliance
- Partners with Human Resources to manage staff, training and development for clinical and ASC locations
- Transitions all employees to the EyeSouth model– including but not limited to transition of Payroll, Employee Benefits, and EyeSouth handbook with the direction of the Integration Specialist and Regional Operations Director
- Assists Chief Compliance Specialist with day to day operational compliance
- Ensures corporate and medical compliance programs are implemented and adhered to under the directions of the EyeSouth Compliance Specialist
Fiscal Management
- P&L accountability
- Oversees Office Managers to achieve monthly and annual budgets; continuously identify opportunities for improvement
- Capital and Operational Budget process leader
Marketing
- Assists Marketing Associate with planning and coordinating practice events
- Monitors the brands social media presence
- Relays marketing trends with providers and Regional Operations Director monthly
- Assists in training staff on how to use marketing platforms
- Initiate EyeSouth best operational processes at the local level via Patient engagement processes and technological platforms
Qualifications
- Bachelor’s degree required, (MBA or MHA preferred)
- 4+ years of multi-site clinical management experience required; ASC experience strongly preferred
- Proven ability to lead and develop a team and drive performance improvement, demonstrated by progressive increases in management responsibility
- Proven ability to thrive in a highly matrixed environment
- Strong financial aptitude with experience managing a P&L
- Rational and analytical approach with a friendly disposition; ability to remain calm in difficult situations
- Ability to work beyond the normal hours, as needed (including potential weekends)
- Excellent presentation, interpersonal and communication skills; written and documentation skills
- Professional & reliable demeanor with strong work ethic
- Excellent time management skills, organizing and prioritizing workload, in order to meet deadlines
- Ability to quickly learn new software, new systems, adapt to change and communicate effectively
- Intermediate computer skills including Microsoft Office; especially Word, Excel, and PowerPoint
- Excellent interpersonal skills including the ability to interact effectively and professionally with individuals at all levels; both internal and external
- Exercises sound judgment in responding to inquiries; understands when to route inquiries to next level, with a strong sense of urgency.
- Self-motivated with strong organizational skills and superior attention to detail
- Must be able to manage multiple tasks/projects simultaneously within inflexible time frames.

PHYSICAL DEMANDS AND CONDITIONS:
- Clinic/Group Medical Practice environment with exposure to communicable disease, bloodborne pathogens and other potentially hazardous chemicals.
- Sedentary work. Exerting up to 15 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
- Expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
- Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication, and to make the discriminations in sound.
- Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another.
- Particularly for sustained periods of time.
- Extending hand(s) and arm(s) in any direction.
- Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. Occasionally required to stoop, kneel, crouch, or crawl.
- The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; using measurement devices; at distances close to the eyes. Specific vision abilities required by this position include close hearing, vision, distance vision, color vision, peripheral vision, and the ability to adjust focus.
- The worker is subject to environmental conditions. Protection from weather conditions but not necessarily from temperature changes.
