The Practice Administrator is responsible for strategic and daily operations of the department within the organization, while balancing the daily goals of the department with the larger strategic vision of the organization to drive results in practice performance in all areas. Practice will be in specialty care services arenas. This position is responsible for all practice areas including revenue cycle, billing, patient experience, budgeting, financial analysis, and workflows. The practice administrator’s role is to ensure that the practice runs smoothly by managing all aspects of daily operations, including. The role and responsibilities are expected to grow over time.

Responsibilities

Duties & Responsibilities but not limited to

  • Achieves system goals by maintaining workflows that support, measure, and achieve key outcomes.
  • Maintains an improvement mindset for the practice and aligns the practice and provider goals with those of the organization.
  • Monitors workflow for continuous improvement opportunities.
  • Prepares and reviews financial data and statistical reports as needed.
  • Analyzes financial and statistical reports to propose strategies that strengthen the financial well-being of the department.
  • Monitors and manages revenue cycle to ensure maximum reimbursement for the practice.
  • Ensures that demographics and charges are posted timely and accurately.
  • Ensures coding changes are identified and implemented.
  • Communicate and coordinate with various departments to resolve operational challenges and improve the quality of patient care.
  • Provides information to physicians and other providers, community groups, and referral agencies about practice programs and new providers, in collaboration with the marketing team.
  • Identifies areas where the practice can better support the growing needs of the community and lead initiatives to close gaps.
  • Onboard new providers to include Physicians and Advanced Practice Providers.
  • Work with SLA to develop organizational strategic plans and objectives based upon identified needs of patients and the organization.
  • Using knowledge of the policies and procedures of the department to direct its operations and to provide effective patient care
  • Training, and supervising administrative staff
  • Monitoring inventory and placing orders for supplies
  • Ensuring that the practice complies with all industry regulations, compliance, billing, and IT security

Qualifications

Requirements

  • Minimum of 2-4 years previous healthcare management experience in a physician practice setting
  • Operations management experience
  • Financial experience, budgeting, working with spreadsheets, accounting reporting systems and software, Excel, and similar database reporting is a plus.
  • A deep knowledge of all practice disciplines is required, including revenue cycle, billing, patient experience, budgeting, and financial analysis.
  • Ability to relate to, interact with, and understand personality types and different kinds of people.
