Job Title: Procurement Officer

Job Purpose
The Procurement Officer will support the sourcing, purchasing, supplier coordination and procurement administration of goods and services in line with approved procurement policies, procedures and business requirements. The role will help ensure value for money, compliance, timely delivery and accurate documentation throughout the procurement lifecycle.
Key Responsibilities
• Support the preparation and processing of purchase requisitions, requests for quotations, purchase orders and procurement documentation.
• Assist in sourcing suppliers, obtaining quotations and supporting competitive bidding processes in accordance with procurement procedures.
• Maintain accurate procurement files, supplier records, quotations, approvals, contracts and related documentation.
• Coordinate with internal departments to clarify specifications, timelines, budgets and procurement requirements.
• Support supplier onboarding, due diligence, evaluation and performance monitoring activities.
• Track procurement requests and follow up with suppliers to ensure timely delivery of goods and services.
• Assist in reviewing invoices, delivery notes and supporting documents before payment processing.
• Prepare procurement reports, trackers and management information as required.
• Promote compliance with procurement policies, delegated authorities, ethical standards and internal controls.
• Support contract renewal tracking and maintain visibility of key supplier engagement timelines.
Minimum Qualifications and Experience
• Minimum qualification: Bachelor’s degree in Procurement, Supply Chain Management, Purchasing and Supply, Business Administration, Commerce, or a related field.
• Full Grade 12 Certificate
• ZAQA Verified Qualifications
• At least two years’ relevant work experience in procurement, supply chain, administration, vendor management or a related business support function.
• Knowledge of procurement processes, supplier management, purchase order processing and basic contract administration.
• Professional membership or certification in procurement or supply chain management will be an added advantage.
Required Skills and Competencies
• Procurement knowledge: Understanding of sourcing, quotation management, supplier selection, purchase order processing, contract administration and procurement documentation.
• Policy and compliance orientation: Ability to follow procurement policies, approval processes, delegated authorities and ethical standards.
• Supplier coordination: Ability to engage suppliers professionally, follow up on deliveries, resolve routine queries and maintain positive vendor relationships.
• Analytical ability: Capacity to compare quotations, review supplier information, identify value-for-money options and support objective procurement decisions.
• Attention to detail: Strong accuracy in maintaining records, checking documentation, reviewing invoices and preparing procurement trackers.
• Communication skills: Clear written and verbal communication with internal stakeholders, suppliers and management.
• Negotiation skills: Ability to support basic price, delivery and service discussions with suppliers while maintaining professionalism and fairness.
• Planning and organisation: Ability to manage multiple procurement requests, prioritise work, meet deadlines and keep stakeholders updated.
• Integrity and confidentiality: High level of honesty, discretion and accountability in handling supplier information, quotations and procurement decisions.
• Teamwork and stakeholder management: Ability to work collaboratively with Finance, Administration, business units and external suppliers.
• Problem-solving: Ability to identify procurement delays, documentation gaps or supplier issues and escalate or resolve them appropriately.
• Digital proficiency: Proficiency in Microsoft Office applications, especially Excel, Word and Outlook; familiarity with procurement systems will be an added advantage.
