
We are seeking a highly organized Portfolio Operations Specialist to support the operational execution of a large technology portfolio within a product-led organization. This role focuses on the financial and operational administration of projects, including purchase order management, invoicing, budget tracking, resource planning, and portfolio reporting.
The ideal candidate will have strong administrative and analytical skills with the ability to collaborate across Finance, Technology, Project Management, and Vendor Management teams. Success in this role requires excellent attention to detail, advanced Excel skills, strong communication, and the ability to manage multiple priorities.
Key Responsibilities
Process Coupa purchase orders and project invoices accurately and on schedule.
Support project financial operations, including budget tracking and reporting.
Maintain project and resource information within Clarity PPM.
Assist with project time tracking and resource allocation updates.
Support operating and capital budget governance activities.
Assist with vendor contract administration and vendor performance tracking.
Support capacity planning and resource forecasting.
Participate in business case estimating activities.
Prepare executive reports using Microsoft Excel and PowerPoint.
Coordinate with project managers regarding financial status and resource updates.
Participate in internal audits and compliance activities.
Monitor project milestones and operational deliverables.
Improve portfolio operational processes and reporting.
Assist leadership with portfolio metrics and performance dashboards.
Maintain accurate project documentation and records.
Communicate project status across cross-functional teams.
Required Qualifications
2–5+ years of professional experience.
Experience supporting PMO, Portfolio Management, Project Operations, Finance Operations, or Business Operations.
Experience processing purchase orders and invoices.
Strong Microsoft Excel skills.
Strong Microsoft PowerPoint skills.
Excellent organizational and multitasking abilities.
Strong written and verbal communication skills.
Proven ability to work independently.
Strong analytical and problem-solving skills.
Ability to quickly learn new enterprise applications.
