Job Title

Portfolio Manager, Lease AdvisoryThis position will be responsible for delivering lease administration and advisory services to existing or potential commercial brokerage clients, often becoming a key member of the client’s real estate team. The position also provides as-needed support to the Director for other portfolio administration functions and is responsible for overseeing the day-to-day activities at the client level and being the first point of contact for any questions that arise from the client, brokers or senior leadership.

Essential functions and responsibilities

  • Manage Lease Administration and Advisory services for a multitude of portfolio and non-portfolio accounts (including, but not limited to, overseeing critical reporting for clients, broker(s) and senior leadership, reviewing and abstracting documents, and updating and maintaining all lease information and data in CoStar Real Estate Manager and custom technology information systems in a timely manner).
  • Review business terms of Estoppel Certificates as requested by clients and/or brokers.
  • Review lease documentation and provide brokers and clients with interpretation and explanation of parties’ rights and obligations with respect to certain business terms as requested.
  • Participate on status calls with client and broker(s) and provide up to date information, as requested.
  • Attend client meetings as requested by client or broker(s).
  • Act as a liaison between IT and client to provide technical support for CoStar REM.
  • Create and maintain trust and strong relationships with team members, leadership, and clients.
  • Ensure account needs are met while following the scope outlined in the client service agreements.
  • Provide superior client service to internal and external clients
  • Recommend new approaches, policies, and procedures to drive continual improvements in efficiency of services performed.
  • Continuously seek business expansion opportunities with existing clients and develop those opportunities.
  • Partner with relevant parties to onboard new accounts quickly and smoothly.
  • Provide regular feedback to leadership regarding issues, challenges, and areas for additional focus.
  • Execute special projects as assigned by senior leadership.
  • Collaborate with other divisions and Client entities including Transaction Management, Facilities Management, Construction/Design, legal, etc. as needed.
  • Support and assist with department and companywide initiatives and ensure company standards are implemented, met, and maintained.
  • Demonstrate initiative and reflect a sense of urgency in daily duties by meeting or improving upon deadlines.
  • Stay up to date on the latest industry standards and trends.

education

  • Bachelor’s Degree preferred in any field; business, finance/real estate, accounting ideal

additional eligibility qualifications

  • 5+ years relevant commercial real estate experience including lease administration and client service.
  • Ability to understand, interpret and abstract complex commercial (office, lab, industrial) lease terminology.
  • Ability to understand the technical/data needs of the Portfolio Management team, as well as those of our clients.
  • Advanced knowledge of Excel and proficiency using lease management databases (CoStar Real Estate Manager experience preferred)
  • Strong interpersonal, verbal/written communication skills and problem-solving ability; attention to detail is a must.
  • Capacity to establish and maintain strong working relationships with team, brokers and clients.
  • Proven record of excellent internal and external customer service.
  • Ability to manage multiple priorities with high flexibility and rapid response time.
  • Ability to excel in a professional, collaborative, team-oriented work environment.

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

The company will not pay less than minimum wage for this role.
