Job Description

Schechter Reed is recruiting a Portfolio Management Coordinator for our client, a commercial real estate investment firm. The coordinator supports the portfolio management team across reporting, transactions, systems administration, and team recruiting, and reports to a Portfolio Manager. The role suits someone adaptable who learns quickly and pays close attention to detail.

Responsibilities

  • Track and maintain portfolio reporting items, including tenant financial statements, severe weather and natural disaster updates, and earnings calls and press materials for publicly traded tenants
  • Support analysts by preparing lease and property materials, validating property and lease data in appraisals and data tapes, and updating tracking reports
  • Support acquisitions and dispositions from underwriting through post-closing: organize legal files, prepare maps and investment committee memo exhibits, coordinate signatures, notarizations, and document delivery, and maintain closing binders and lease files
  • Assist with routine legal and due diligence support, including basic legal document templates and third-party due diligence proposals
  • Administer systems: modify entities, create client logins for financial statement submissions, set up user accounts, and assist with report generation and field updates
  • Help prepare the quarterly portfolio credit report and other ad hoc credit reports, and track the team's progress against company KPIs
  • Monitor tenant insurance (certificates, broker contacts, renewals), track delinquent property taxes, and compile sales comparables and market valuation data for analysts
  • Use approved AI-enabled tools for document organization, data review, meeting notes, and reporting summaries
  • Support recruiting and team administration: job postings, interview scheduling and materials, candidate travel, onboarding and offboarding, and the annual internship program, including group trainings

Qualifications

Required:

  • Associate's degree or higher
  • Experience with Microsoft Office, including Excel, PowerPoint, and Word
  • Strong organization, time management, and communication skills with attention to detail

Preferred:

  • Previous administrative or coordinator experience
  • Salesforce, Microsoft Copilot (or similar), and database experience (training provided on the job)
