Job Description

The Policy & Document Management Intern will assist with the migration, review, formatting, and organization of over 500 organizational policies and related documents into a new policy management platform.

The Intern will work closely with the Corporate Compliance & Risk Officer and Executive Assistant to the COO to help streamline policy workflows, improve document consistency, and support implementation activities leading up to the organization-wide transition deadline.

This position is ideal for a student or emerging professional interested in healthcare administration, compliance, business operations, document management, or project coordination.

Contributions:

Policy & Document Management

  • Review and organize existing organizational policies, procedures, and related documents.
  • Convert documents into standardized templates and formatting requirements as needed.
  • Export and convert documents into editable formats to support future revisions and workflow integration.
  • Assist with uploading and organizing documents within the new policy management platform.
  • Maintain accurate version control and file naming conventions across all documents.
  • Identify formatting inconsistencies, missing information, or duplicate documents and escalate concerns appropriately.
  • Support quality assurance reviews to ensure policies are complete, readable, and properly categorized.

Workflow & Implementation Support

  • Assist in documenting and testing policy review and approval workflows within the new platform.
  • Participate in weekly implementation meetings with the software vendor and internal project leads.
  • Take meeting notes and track action items related to implementation progress.

Workflow & Implementation Support (continued)

  • Help coordinate updates and communication between departments regarding policy revisions and submission needs.
  • Support the Policy Committee process by organizing documentation and preparing materials for review.

Administrative & Project Support

  • Track project progress using spreadsheets or project management tools.
  • Assist with data entry, reporting, and document inventory management.
  • Maintain confidentiality of organizational and operational information.
  • Perform additional administrative or project-related duties as assigned.

Requirements

  • Currently pursuing or recently completed an associate’s or bachelor’s degree in Business Administration, Healthcare Administration, Communications, Public Administration, Information Management, or a related field preferred.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to work independently while collaborating with cross-functional teams.
  • Experience with document formatting, administrative support, or project coordination preferred but not required.

Preferred Skills

  • Familiarity with document management systems or workflow platforms.
  • Experience editing or formatting professional documents.
  • Interest in healthcare compliance, operations, or organizational governance.
  • Ability to identify process improvement opportunities.
