Summary

Under the general direction of the Office Manager or Captain of the Services Division, functions as an administrative liaison between the general public, law enforcement officials, and City personnel. Duties include receiving and relaying information pertaining to police and fire activity, and performing administrative duties in support of the Police Department.

Examples of duties

  1. Receives and relays telephone, walk-in, and teletype information to ensure police services effectively handle crimes, medical emergencies, accidents, and all other types of concerns/issues referred to the Department.
  2. Receives and relays concise information to the general public to answer questions and provide responses regarding police procedures and activities.
  3. Provides front desk assistance in answering inquiries, receiving reports, issuing permits, handling and resolving complaints, directing visitors, notarizing documents, and providing general service information.
  4. Receives and relays detailed and concise information to Ottawa County Central Dispatch regarding police concerns.
  5. Assists remote officers with LEIN requests. Receives and makes inquiries on the LEIN, and transmits received information to personnel.
  6. Transcribes reports, report data entry, forwarding and following procedures for report transfers to the Prosecutors Office, City Attorney, Court, and other agencies. Skill required for transcribing from audio recording to word document.
  7. Maintains storage room, including organizing files and ordering supplies.
  8. Performs additional duties of an administrative nature to support the efficient operation of the Department.

OTHER DUTIES & RESPONSIBILITIES:

  1. Assists with the processing of prisoners as necessary.
  2. Performs other duties as assigned.

Qualifications

  1. The job requires knowledge normally acquired through the completion of high school and additional specialized training in Secretarial Science, Public Administration, Business, or a related field.
  2. One to two years experience in administrative support and/or law enforcement.
  3. Interpersonal skills necessary to effectively communicate with City officials, law enforcement officers, and the general public in situations requiring tact and patience.
  4. Computer skills necessary to effectively utilize word processing, database, and spreadsheet software applications. Typing skill at a minimum of 45 WPM.
  5. Mental ability to periodically handle pressures related to working on project requiring attention to detail and deal with the concerns of citizens and employees.
  6. Physical ability to occasionally lift and transport equipment and materials weighing up to 50 pounds, and frequently sit in one position for extended periods of time.

WORKING CONDITIONS:

  1. Normal office environment with little discomfort due to noise, dirt, dust and the like.
  2. Incumbent may occasionally be exposed to people with infectious diseases.
  3. Evening and/or weekend hours occasionally required.
