PMO Assistant

Area of Responsibility

As a People & Culture PMO Assistant, you will join the global People & Culture (P&C) organization responsible for developing and managing the HR project portfolio roadmap. You will play a key role in supporting the Project Management Office (PMO), HR Leadership Team (HRLT) and management activities. You will help ensure effective planning, coordination, communication, reporting, and follow-up across a range of strategic and operational activities.

The role requires a structured and service-minded approach, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment. You will work closely with senior stakeholders and act as a reliable coordinator who ensures that meetings, reporting, projects, and key activities are well prepared and followed through.

Key responsibilities

PMO Support

As part of the PMO, you will support project governance, reporting, and performance management activities.

  • Maintain and update KPIs and the KPI board
  • Support regular reporting and performance updates
  • Follow up on project charters, milestones, and agreed actions
  • Coordinate and track project-related deliverables and follow-ups
  • Support employee engagement survey activities, including coordination, reporting, and follow-up
  • Assist with maintaining structure, transparency, and consistency across PMO processes

P&C Leadership Team Support

You will provide coordination and administrative support to the P&C Leadership Team, ensuring that key activities and communication are well organized and executed.

  • Coordinate and maintain HRLT agendas and meeting plans
  • Prepare materials and logistics for leadership meetings
  • Provide communication support for HRLT activities and initiatives
  • Coordinate monthly town halls and other P&C-wide meetings and events
  • Maintain and coordinate the annual P&C calendar
  • Support the preparation and distribution of P&C news and communications
  • Coordinate and support onboarding activities
  • Maintain and update slide masters and presentation templates
  • Support event planning and coordination across P&C

Management Support

You will provide day-to-day support to management, helping ensure that schedules, travel, meetings, and materials are effectively coordinated.

  • Manage and coordinate calendar activities
  • Plan and coordinate business travel
  • Prepare and maintain presentations, meeting materials, and files
  • Support preparation and coordination related to European Works Council
  • Ensure relevant materials and information are available ahead of key meetings and activities

Your profile

We are looking for a proactive and organized person who enjoys creating structure, coordinating people and activities, and making sure things get done.

You ideally have:

  • Experience in a coordination, administrative, PMO, HR, or executive support role
  • Strong organizational and planning skills
  • Excellent attention to detail and ability to manage multiple tasks simultaneously
  • Strong communication skills and confidence working with senior stakeholders
  • A proactive and solution-oriented mindset
  • The ability to work independently while also being a strong team player
  • Good stakeholder management and collaboration skills
  • Strong skills in PowerPoint, Excel, Outlook, and other Microsoft Office tools
  • An interest in project management, business processes, and organizational development
