East Penn Manufacturing is seeking a detail-oriented and organized Plant Secretary to provide administrative and clerical support to the Plant Manager and plant operations within our A3 facility. This position plays a key role in maintaining employee records, supporting payroll and attendance processes, coordinating office operations, and assisting employees with day-to-day administrative needs.

Responsibilities

  • Provide administrative and secretarial support to the Plant Manager.
  • Maintain employee attendance records and accurately record absences in the Time & Attendance (T&A) system.
  • Process and maintain records related to vacations, excused absences, and medical documentation.
  • Generate weekly attendance reports for payroll and disciplinary purposes, as well as other reports as needed.
  • Maintain and update employee records, including address changes, shift changes, department transfers, and other personnel information.
  • Assist employees with questions and requests regarding company-related information.
  • Prepare monthly production reports by entering production data into Excel and distribute reports to Management, Supervision, and Quality personnel.
  • Monitor office supply inventory and order supplies as needed through the SOMAX system.
  • Track plant purchase items and maintain records utilizing Excel.
  • Process invoices by verifying shipments and quantities and forwarding documentation to Accounts Payable.
  • Coordinate repair and maintenance of office equipment by submitting work orders when necessary.
  • Prepare and type correspondence, reports, meeting minutes, and other business documents.
  • Answer and route calls on a multi-line telephone system and take messages as needed.
  • Provide backup support for the Production Clerk.
  • Perform additional duties as assigned by Management.
  • Support plant goals by maintaining a focus on quality, safety, housekeeping, and proper hygiene practices.

Qualifications

  • High school diploma or GED required; additional business or office administration training is a plus.
  • Previous administrative, clerical, secretarial, or office support experience preferred.
  • Strong computer skills, including proficiency with Microsoft Excel, Word, and Outlook.
  • Ability to accurately maintain confidential records and data.
  • Strong organizational skills with excellent attention to detail.
  • Effective verbal and written communication skills.
  • Ability to work independently and manage multiple priorities in a fast-paced manufacturing environment.
  • Experience with attendance tracking, payroll support, inventory control, or data entry is preferred.

Essential Functions

  • Maintain regular attendance.
  • Ability to work mandatory overtime when required.
