About the role

We are seeking a highly organised Planning and Design Administrator to provide professional administrative and coordination support to our Planning and Design function. This role is ideal for someone who thrives in a fast-paced environment, enjoys working with multiple stakeholders, and takes pride in producing accurate, high-quality documentation.

The Planning and Design Administrator supports the General Manager and wider team by managing schedules, correspondence, document preparation and workflow. You will handle confidential information with discretion, track deadlines and deliverables, and act as a key point of contact for internal and external stakeholders, helping the team stay focused on strategic and technical priorities, along with the following:

  • Prepare, format, quality-check, and distribute reports, presentations, correspondence, and other project documentation.
  • Maintain accurate and up-to-date records, project files, registers, and databases.
  • Ensure documentation meets organisational and program standards and is accessible for reporting, audits, and project requirements.
  • Provide proactive, day-to-day administrative support to the Planning and Design team.
  • Track workflows to ensure timely processing of documents, approvals, and submissions.
  • Support continuous improvement by implementing templates, systems, and procedures that improve team efficiency and consistency.
  • Act as a key point of contact for internal staff, consultants, contractors, and other stakeholders.
  • Coordinate communications and information flow between the General Manager, team members, and external parties.
  • Provide general administration including filing, recordkeeping, and support across Microsoft 365 (including SharePoint) and other departmental systems; raise purchase requests, enter budget information, and record time and expenses as required.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Other responsibilities as reasonably directed.

About You

With a positive, can-do approach, you stay organised and focused when priorities shift, communicate clearly and confidently, and maintain high performance under pressure. You also embrace new systems and smarter ways of working, helping the team continuously improve how work gets done. You also have:

  • Minimum 2 years’ experience in an administrative and/or coordinator role, ideally within aviation, planning, engineering, design, or construction environments.
  • Exposure to strategic planning or design functions is desirable but not essential.
  • Year 12 completion and/or a relevant Certificate or Diploma.
  • Demonstrated ability to draft and compile a broad range of documentation to a high standard (reports, correspondence, presentations, registers).
  • Proven ability to manage multiple concurrent tasks with competing priorities and deadlines.
  • Strong proficiency with IT systems, including Microsoft Office/Microsoft 365 and document management platforms (e.g., SharePoint).
