The Opportunity

The Resource Planner is responsible for managing day-to-day planning operations, resource allocation, and booking activities. The role ensures effective coordination between internal teams, partners, and stakeholders (including teams in Switzerland) to support smooth project staffing and resource utilization.

Key Responsibilities

What you will be doing:

  • Manages resource planning databases, ensuring that information is accurately integrated across these systems.
  • Ensures alignment between the hours planned in the internal system for each team member (corresponding to their level) and the budget approved by the project leader.
  • Proposes solutions for resource allocation on projects and clients, communicating with Managers or project leaders, and actively participating in resource planning meetings and resolving potential conflicts.
  • Monitors resource utilization and availability, sharing relevant information from the internal platform with the group of Managers and project leaders.
  • Prepares materials such as budget analyses, reports, and presentations aligned with project objectives for Managers or project leaders.
  • Maintains ongoing communication with the Team Leader and exercises judgment by identifying when assistance is needed.
  • Understands and applies the rules for resource planning as well as internal order and conduct according to internal standards.
  • Respects and safeguards the confidentiality of clients, staff, and company information.
  • Responds promptly and professionally to colleagues' requests, adhering to instructions, asking clarifying questions, and making decisions aligned with assigned tasks.

What we need from you:

  • Very good command of English is a must.
  • German language is a must
  • Medium Excel skills are a must
  • 2-3 years of work experience in a similar position would be a plus
  • Ability to communicate clearly and professionally with individuals at all levels.
  • Very organized person, that maintains control over their own time, completes tasks within agreed deadlines, informs the team leader of potential delays, and records worked hours.
  • A proactive and development-oriented attitude, demonstrating calmness, tact, flexibility and adaptability in diverse contexts.
  • Communicative, team worker, client-oriented attitude, multitasking skills.
  • Sense of responsibility and attention to details in reporting and data management.
