Job Description
The Physician Recruitment & Onboarding Specialist serves as the central coordinator of the physician hiring and onboarding process. This role ensures a seamless experience from interviewing, offer acceptance and through the physician’s first 90 days. The Physician Recruitment and Onboarding Specialist will work cross-functionally with recruitment, legal, credentialing, and operational teams. This position will also serve as the primary coordinator, partnering closely with physician relations throughout the physician’s first 90 days to ensure a seamless transition , successful onboarding, and long-term integration. While the position includes physician recruitment activities, its primary focus is on coordination, communication, and execution to ensure timely, compliant, and successful onboarding outcomes.
RESPONSIBILITIES
- Coordinate enterprise-wide Physician Recruitment and Onboarding.
- Serve as the primary point of contact and coordinator throughout the physician recruitment lifecycle.
- Schedule and facilitate interviews, site visits, and stakeholder meetings with hiring leaders, executives, and medical staff.
- Ensure alignment and communication across all cross functional departments and third parties involved in the recruitment process.
- Track candidate progress and ensure timely movement through each stage of the hiring process.
- Develop and implement standardized processes across all locations to improve efficiency and timeliness of physician onboarding
- Partner with leadership and legal to coordinate and finalize employment offers and contracts.
- Oversee the offer process to ensure accuracy, compliance, and timely delivery to candidates.
- Act as liaison between candidates and internal stakeholders to address questions and ensure a positive experience.
- Coordinate onboarding activities in partnership with credentialing, HR, medical staff offices, and other key departments.
- Ensure all pre-employment requirements are completed, including credentialing, licensing, and compliance documentation.
- Monitor onboarding milestones and proactively identify and resolve delays or issues.
- Serve as the primary coordinator through the physician’s first 90 days to ensure a successful transition and integration.
- Partner with credentialing teams to track application status, privileges, and payer enrollment as needed.
- Work closely with HR, operations, IT, and practice leadership to ensure readiness for physician start dates.
- Facilitate communication between departments to ensure all onboarding tasks are completed on time.
- Support sourcing and pipeline activities using recruitment systems and tools.
- Assist with candidate outreach, screening coordination, and applicant tracking system (ATS) updates.
- Maintain accurate records of candidate activity and hiring status.
EDUCATION & EXPERIENCE
- Bachelor’s degree or equivalent experience required.
- Experience working with credentialing processes and medical staff offices preferred.
- Strong organizational and project management skills with the ability to manage multiple priorities.
- Excellent communication and stakeholder management skills.
- Proficiency with applicant tracking systems (ATS) and HRIS platforms.
PREFERRED QUALIFICATIONS & SKILLS
- Experience in orthopedics, surgical specialties, or procedural healthcare environments strongly preferred
- 3–5+ years of experience in healthcare recruiting coordination, physician onboarding, or HR operations.
- Ability to manage multiple priorities in a fast-paced, evolving MSO environment
- High attention to detail with strong organizational and data integrity standards
- Excellent communication and relationship-building skills with physicians and executive leadership
- On-site presence required at the Tampa-area headquarters at Avion Park near Tampa International Airport
