Role supports physicians by establishing clear standards to the onboarding process. The role manages and executes the transition to a new overhead methodology, supporting the new methodology when it is in effect. This role supports a common understanding and a consistent process for the accurate, equitable, and transparent application and communication of the overhead methodology. The role enhances the physician onboarding experience through clear, consistent, and comprehensive onboarding education, and proactively address operational onboarding challenges by serving as a central point of contact across teams. Onboarding is further supported by providing support to digital tickets, contract support, and consistent direction around finance related matters. Enhancing consistency and reducing administrative errors across departments through the communication of standardized processes.

Duties

  • Coordinate physician onboarding by providing guidance on credentialing next steps, account setup, orientation, training, and onboarding education for physicians and administrative staff.
  • Develop and maintain onboarding resources including standard operating procedures (SOPs), onboarding/offboarding checklists, FAQs, and compliance documentation to ensure consistent processes.
  • Serve as the primary liaison for physicians, collaborating with Finance, People & Culture, Digital, Medical Affairs, and executive leadership to resolve onboarding and operational matters.
  • Manage physician contract administration by maintaining standardized contract templates, renewals, addendums, and secure records of executed agreements for compliance and audit purposes.
  • Oversee digital asset management by approving asset requests, reviewing monthly digital asset reports, resolving discrepancies, and addressing physician inquiries related to assets and associated charges.
  • Lead the implementation and ongoing management of the physician overhead methodology, including project coordination, process development, executive reporting, and annual communications to Medical Affairs leadership.
  • Coordinate financial and operational activities by submitting monthly overhead charges, validating overhead data, supporting forecasting, and ensuring accurate processing of physician-related charges.
  • Maintain centralized operational and financial databases using Excel, Access, and similar tools to ensure accurate onboarding, financial, and operational records.
  • Provide administrative and procurement support by managing Ariba-related processes, coordinating overhead charges with Finance, and communicating operational updates that impact financial activities.
  • Drive continuous improvement and compliance by gathering stakeholder feedback, implementing process enhancements, supporting cross-functional initiatives, and ensuring compliance with organizational policies and Occupational Health & Safety requirements.

Qualifications

  • At minimum, completion of a Bachelors degree in specify certificate, diploma, or degree/discipline or recognized equivalent required.
  • At minimum over 4 years up to and including 6 years practical and related experience and/or 2 years on-the-job training required.Experience in healthcare operations, finance, or project management
  • Experience in financial coordination, billing processes
  • Strong excel and data management skills
  • Hospital experience is an asset
