TOTEME was founded in 2014 by Elin Kling and Karl Lindman. From the atelier in Stockholm, we create women’s and men’s collections spanning ready-to-wear, shoes, bags, accessories, and jewelry.

The Role

TOTEME is looking for a Photo Production Assistant to join our Photo Studio team in Stockholm full time.

In this role, you will coordinate collection samples across all TOTEME photo productions, including e-commerce, wholesale, campaign, lookbook, still life and seasonal shoots. As the main point of contact for shoot-related sample needs, you will ensure the right products are available, prepared, tracked and delivered on time. You will maintain an overview of sample availability and movement, proactively resolving clashes or missing products before they impact production.

You will report to the Studio Director and work closely with Photo Production, Art Direction, Styling, Design, Product Development, Buying and Merchandising to ensure the efficient flow of collection samples across the business.

Responsibilities

• Own the end-to-end coordination and tracking of collection samples across all Photo Studio productions, maintaining an accurate overview of availability, location, condition and upcoming requirements.
• Work closely with Producers, Art Directors and Stylists to plan and prepare samples for upcoming shoots.
• Coordinate seasonal collection handovers, maintaining visibility on incoming and delayed samples and proactively resolving clashes, gaps or risks ahead of production.
• Prepare and organize collections for styling, fittings and shoot days, ensuring samples are complete, clearly identified and shoot-ready.
• Manage incoming and outgoing sample movements, including internal transfers, couriers, shipping and external shoots.
• Ensure all products are tracked throughout production, accounted for and returned correctly following each shoot.
• Maintain an organized and functional sample room and clear sample-management systems.
• Continuously review and improve sample-management processes and workflows within the Photo Studio.

Your Profile

• Previous experience in sample coordination, collection management, fashion production, showroom, PR or a similar role within the fashion industry.
• Experience within a luxury or premium fashion environment is advantageous.
• Strong understanding of fashion samples, collections and the product lifecycle.
• Experience supporting e-commerce, campaign, lookbook or other fashion productions is advantageous.
• Exceptional organizational skills and the ability to manage multiple priorities and deadlines simultaneously.
• Strong attention to detail and confidence working with tracking systems, Excel and other digital tools.
• Fluent in spoken and written English.

This is a full-time position based at TOTEME’s headquarters in Stockholm starting as soon as possible. The first phase of the recruitment process will include an automated written screening.
