About This Role:
We are hiring a Project Coordinator to support a SaaS company for Business Consulting and Services, a consulting-driven organization managing a mix of internal and client-facing projects. This role is focused on coordination and execution, ensuring timelines stay on track, deliverables are visible, and projects move forward smoothly. You will work closely with consultants who own the projects, acting as the operational backbone that keeps everything organized and aligned. This is not a project ownership role, but a critical support function that ensures consistency, visibility, and follow-through across multiple workstreams.
Key Responsibilities:
Support consultants in coordinating projects within Asana, including building tasks, timelines, and dependencies
Maintain and update project plans to ensure accuracy and real-time visibility
Track deliverables across multiple projects and proactively flag risks, blockers, or delays
Follow up on pending inputs and ensure stakeholders stay aligned and informed
Schedule check-ins and support cross-functional coordination across teams
Maintain strong Asana hygiene, including templates, naming conventions, and project structure
Assist in preparing project status updates and reporting on overall project health
Support end-to-end event coordination, including venue research, logistics, and vendor coordination
Track event timelines, RSVPs, and key deadlines to ensure smooth execution
Monitor and reconcile event-related expenses
Provide general administrative and operational support as needed
Assist with light social media coordination tasks, such as tracking posts and retrieving content when needed
Software/Platforms/Tools:
Project management tools such as Asana (preferred), ClickUp, Monday.com, or Jira
Google Workspace (Docs, Sheets, Drive)
Communication tools such as Slack and Zoom
Time tracking tools such as Everhour or similar
Basic familiarity with social media platforms (nice to have)
Qualifications:
At least 2 to 4+ years of experience in project coordination, project management, or operations support roles
Experience using Asana or similar project management tools
Formal project management training or certification (CAPM, PMP, PRINCE2, Google Project Management Certificate, or similar)
Strong administrative background with high attention to detail
Highly organized with the ability to manage multiple workstreams and shifting priorities
Excellent written and verbal English communication (C1 or C2 level)
Ability to work independently in a remote, fast-paced environment
Proactive communicator who raises risks, blockers, and issues early rather than letting them drift
Detail-oriented and able to spot inconsistencies, missing information, or operational gaps before being asked
Calm and composed while managing multiple priorities and changing timelines
Service-oriented and diplomatic when coordinating with consultants, contractors, leadership, and cross-functional stakeholders
Comfortable working with US-based teams and familiar with professional communication norms and workflows
Highly adaptable with a willingness to support evolving business and project needs
Curious and process-minded, with interest in understanding the “why” behind workflows and decisions, not just task execution
Nice to have:
Experience supporting consultants, agencies, or professional services teams
Experience supporting US-based companies or remote international teams
Experience in event coordination or vendor management
Basic marketing or social media support experience
Familiarity with Slack, Google Workspace, Everhour, or similar tools
Shift Schedule
Monday to Friday, flexible working hours during the US timezone; schedule to be discussed based on team and project needs
