Job Description

The Philanthropy Operations & Data Specialist supports the Philanthropy Department by managing donor data, gift processing, reporting, and operational coordination to ensure accurate, timely, and effective fundraising and stewardship efforts. This role serves as the primary administrator of the donor database and provides critical operational, analytical, and administrative support to advance fundraising strategies, donor engagement, and organizational goals.

JOB RESPONSIBILITIES

  • Serve as the primary administrator of the donor database (DonorPerfect), ensuring data accuracy, integrity, and timely updates
  • Maintain and manage donor records for individuals, corporations, foundations, and government partners
  • Process and record donations, pledges, grants, sponsorships, and in-kind contributions
  • Perform data quality control, standardization, segmentation, coding, and reporting
  • Track donor giving history, engagement interactions, and stewardship touchpoints
  • Coordinate database cleanup projects and ongoing system updates
  • Process daily gifts, generate acknowledgments and tax receipts, and track pledge payments
  • Reconcile gifts with the Finance department and maintain documentation for restricted and unrestricted gifts
  • Track donor recognition levels, including Great Futures Giving Circle and other recognition programs
  • Produce fundraising reports, dashboards, donor lists, and campaign progress summaries for leadership and board use
  • Support donor analytics, segmentation, stewardship metrics, and impact reporting
  • Provide administrative and database support for fundraising events, sponsorships, and corporate volunteer engagements
  • Manage event guest lists, RSVPs, sponsorship records, and post-event follow-up
  • Track board member giving, pledges, and engagement; prepare giving summaries and reports
  • Support day-to-day philanthropy operations, including calendars, meetings, donor communications, mailings, and campaign coordination

Requirements

EDUCATION and/or EXPERIENCE, LICENSURE AND CERTIFICATION

  • Bachelor’s degree in nonprofit management, business administration, data management, or a related field or equivalent relevant experience
  • Experience working with donor databases or CRM systems (e.g., DonorPerfect or similar)
  • Experience supporting fundraising, development, or philanthropy operations
  • Experience with data reporting, reconciliation, and administrative coordination
  • Excellent communication and interpersonal skills.
  • Hold a valid driver’s license and pass motor vehicle driving record check.
  • Pass criminal background check.
  • Pass (negative result) a TB test.
  • CPR and First Aid Certifications preferred.
  • Prior experience working in a Boys & Girls Club preferred.

KNOWLEDGE, ABILITY and SKILLS

  • Strong knowledge of donor database management and data integrity principles
  • High attention to detail and ability to manage multiple data-driven tasks accurately
  • Ability to analyze data and produce clear, actionable reports
  • Strong organizational and time-management skills
  • Ability to handle confidential and sensitive donor information with discretion
  • Proficiency in Microsoft Office applications, particularly Excel
  • Strong written and verbal communication skills
  • Ability to work collaboratively with philanthropy, finance, leadership, and volunteers

WORKING CONDITIONS and DRIVING

  • Primarily office-based work environment
  • Occasional evening or weekend work may be required to support events
  • Local travel may be required for meetings or events (driving may be necessary)
