A Brief Overview

Responsible for inventory control, procurement and coordination of pharmaceuticals and department supplies. Builds relationships with vendors and other organizations to obtain pharmaceuticals and related products in appropriate quantities at the best possible price. Maintains records and dynamically adjusts par values, stock, inventory calculations as appropriate. Performs a variety of reporting and billing duties to ensure appropriate payment, utilization and inventory controls. Ongoing analysis of purchasing data to improve department performance. Performs duties under the direct supervision of a staff pharmacist, and within the scope of practice as defined by policies and procedures and the State of Nebraska. Orders, receives and stocks supplies and pharmaceuticals to maintain inventory levels. Codes and authorizes invoices and requisitions. Coordinates returns and recalls. Records and maintains Pharmacy QA Records. Submits special billing to appropriate 3rd parties and ensures timely and accurate reimbursement.

Essential Functions

  • Responsible for performing or assisting in the performance in one or more of the following areas:
  • Responsible for maintaining appropriate stock volumes of pharmaceuticals and supplies within the pharmacy, including processing of appropriate paperwork and electronic files used in the ordering, receiving, and pricing of medications and supplies.
  • Completes monthly manual billing charges in a timely manner.
  • Communicate with finance to maintain accurate submission and reimbursement from 3rd parties.
  • Work together with finance and reviews remittances to ensure proper payment from 3rd parties.
  • Perform a variety of functions related to the role of the Pharmacy Technician purchaser
  • Reviews charges/credits of medications when appropriate, monitoring potential price increases
  • as necessary
  • Communicates with the Pharmacy Team, including Manager, regarding pharmaceutical
  • shortages, changes in products, deleted products and pricing updates.
  • Coordinates pharmaceutical returns and medication recalls, optimizing credit whenever possible.
  • Works with 340b pharmacy technicians to ensure proper compliance with drug purchases.
  • Collaborates with the pharmacy leadership team to ensure operational efficiency and leverage new opportunities.
  • Responsible for monthly reporting on savings opportunities, split billing software maintenance and all areas of program compliance.
  • Reviews and verifies invoices, ensuring proper product documentation including receipt, pricing and terms.
  • Ensures multistep receipt validation and documentation of each inventory item.
  • Resolves invoice discrepancies as soon as possible with appropriate vendor and documents accordingly
  • Makes correction or change to purchase orders through receipts or invoice authorization and documentation
  • Validates appropriate invoice documentation in electronic filing system prior to forwarding to finance for payment.
  • Initiates process for invoice submission in an accurate and timely manner
  • Coordinates pharmaceutical returns, breakages and medication recalls, optimizing credit whenever possible
  • Assists with ensuring up-to-date and accurate pricing information is maintained in computer systems
  • Provides updated pricing and/or NDC Changes on quarterly basis.
  • Communicates with the Pharmacy management regarding pharmaceutical shortages, changes in products, products and pricing updates.
  • Contacts pharmacy wholesaler or vendors to communicate organizational needs and works to identify product deliveries
  • Maintains up to date shortage/backorder listing for pharmacy department staff and management team.
  • Identifies suitable alternatives for evaluation by pharmacy management team
  • Provides supply updates on a routine basis and communicates anticipated shortage timelines
  • Provides routine information regarding expenses for productivity reporting and budgeting projections.
  • For Home Health:
  • Responsible for accurate insurance selection for medical and NCPDP claims during the initial intake and during billing review
  • Performs billing review of sales orders prior to shipment of medication and supplies
  • Communicates with the pharmacy manager, pharmacists and pharmacy technicians
  • Completes audits on a regular basis for accurate sales orders and invoice billing
  • Communicates with patients when a corrected sales order needs a signature

Education Qualifications

  • High School Diploma or GED Required

Experience Qualifications

  • 1-3 years Previous experience in retail pharmacy services Required and
  • 1-3 years Previous purchasing/inventory control experience Preferred or
  • 1-3 years For Home Health: Previous medical billing experience in a LTC or Home Health setting Preferred

Skills and Abilities

  • Experience with the supply process and distribution phases of inventory management in a retail pharmacy setting.
  • Knowledge of computerized inventory management and contract compliance procedures.
  • Mathematical skills necessary for algebraic conversions, addition, subtraction, multiplication and division.
  • Verbal and written communication skills sufficient/necessary to receive and deliver information accurately among pharmacy staff and others.
  • Experience with typing keyboard/computer.
  • Ability to prioritize time and tasks according to the needs of patients and the department with minimum supervision and direction.

Licenses and Certifications

  • Current and valid registration with the State of Nebraska Required and
  • Pharmacy Technician Certification from a recognized national or local certification board that is approved by the State of Nebraska, within 30 days of hire. within 30 Days Required and
  • DL NUMBER - Driver License, Valid and in State As applicable, must have valid driver’s license with an acceptable motor vehicle driving record. Required
  • Successful completion of security check in compliance with requirements set by the State of Nebraska Required and
  • Minimum of 18 years of age Required
