Shift:

ORDERING PHARMACEUTICALS, IV SUPPLIES

  • All purchases are assigned a purchase order number and documented accurately.
  • Inventory levels are monitored to assure proper quantities are ordered to achieve budgetary goals.
  • Inventory levels are adjusted to respond to external disasters including terrorism, bioterrorism and weather.
  • Wholesalers and suppliers are notified so that product is received in time to ensure quality.
  • Determination of product selection is influenced by contract pricing, order quantity, availability, purchase history and patient safety considerations such as labeling and packaging.
  • Orders are checked against corresponding invoice to assure accurate and complete delivery.
  • Computer is used to place purchase orders when applicable.
  • Utilization of barcoding, on-line ordering and automation are used to enhance productivity and safety.
  • When Prime Vendor is not used, the best contractual pricing delivery and terms are to be employed. For example, coagulation factors, albumin, IVIG and chemotherapy.
  • Monitor allocation and shortages of medication to ensure optimal inventory.

INVENTORY DISTRIBUTION

  • Knowledge of location of all hospital departments and services is necessary for timely completion of all job responsibilities.
  • Delivery of pharmaceuticals and replacement of pharmacy stock is timely.
  • Requisitions are filled accurately for ancillary area with recommended stock levels observed.
  • All necessary information is input into inventory financial system to properly credit or debit intended accounts including department charges.
  • Controlled substances are ordered and managed in adherence to the department, State and DEA regulations.
  • Monitor PAR LEVELS for changes in usage with emphasis on high cost medications.

PURCHASE REQUISITIONS AND INVOICES

  • Invoices and necessary paperwork is forwarded to Accounting Department promptly.
  • Rebates, credits, and returns are processed promptly and completely.
  • Responsible for determining alternate sources of product and documentation of loaned and borrowed activity.
  • Monitors arrival of new products to ensure that charge codes are in effect prior to distribution of product.
  • Communicates with vendors and wholesalers to correct problems and avert shortages in supply.
  • Maintain accurate invoices and paperwork for charity and mission organizations.

COORDINATION OF DEPARTMENT ACTIVITIES

  • Outdated pharmaceuticals are stored separately until such time that they are returned to the manufacturer or reverse distributor for credit or replacement.
  • Chemotherapy and hazardous substance policy and procedures are strictly adhered to.
  • Surveillance of stock to pull all outdated products is ongoing.
  • Follows Hospital policies on patient confidentiality on all medications.
  • Trains technicians, pharmacy students, and pharmacy interns under the direction of registered pharmacist.
  • Familiar with operation of printers, pumps, and other equipment utilized in daily operations.
  • Problems are reported in a timely and constructive manner.

Minimum Qualifications

  • High school diploma or equivalent is required.
  • Certified or Registered Pharmacy Tech required.
  • Previous Buyer experience is required; pharmacy experience is preferred.
  • Excellent communication and negotiation skills required.
  • Working knowledge of Word and Excel is required. Lawson experience is preferred.
  • Must be able type at least 30wpm.
