We are seeking an enthusiastic and motivated Administration Officer or Executive Assistant to join the Pharmacy Workforce & Culture team. This role is suited to someone with experience in healthcare workforce support looking to take the next step in their career and gain valuable experience in a dynamic and supportive environment. This position is full-time for 4 months with potential for ongoing opportunities

In this role, you will:

  • Co-ordinate delivery of a capable, competent and engaged workforce able and willing to deliver safe and high-quality person-centred service.
  • Provide administration support for workforce management, including rostering, recruitment, onboarding and supporting administrative duties for the broader Pharmacy Executive team
  • Support a safety and wellness culture.

To succeed in this role, you will:

  • Have prior experience in an administrative or executive support role
  • Have strong communication skills, with demonstrated ability to work with internal and external stakeholders to achieve positive solutions
  • Be adaptable and be able to work autonomously as well as part of a team
  • Have excellent attention to detail and time management skills
  • Be able to problem solve and demonstrate the ability to take initiative and show leadership
  • Adopt a patient-centred approach to care

About the Department & Team

Alfred Pharmacy is well recognised for high quality and innovative patient- focused services, education and training programmes as well as significant research output. The service operates over 4 sites within the Alfred Care Group, and continually advocates for postgraduate learning and research interests, with supportive partnerships and expert mentors available to foster staff development.

The Pharmacy Workforce and Culture team has oversight of the department as a whole, coordinating all workforce activities centrally, including recruitment, extended leave, rostering and payroll activities to name a few. The team works closely with the diverse pharmacy team, across all areas including Clinical, Operational, Digital Health, Governance, Pharmaceutical Management, Outpatient Services, Infrastructure as well as the Pharmacy Executive team. Our people matter greatly to us, and the workforce team actively works to maintain a positive, fair and supportive culture across the department.

Qualifications/Experience Required

  • Experience working in an administration officer or executive assistant role or equivalent in a healthcare setting
  • Intermediate to advanced skills in Microsoft applications including Word, PowerPoint and Excel, SharePoint, Microsoft teams essential
  • Experience in establishing and managing data systems, including online survey tools e.g. Survey Monkey, RedCap (desirable)
  • Experience in design and preparation of newsletters, educational and promotional material desirable
  • Experience in using rostering and employee management systems (e.g. SuccessFactors/eHub, cGOV, UKG, Kronos) is desirable
