The Pharmacy Store Specialist supports daily pharmacy store operations by coordinating the accurate receipt, storage, documentation, and distribution of clinical products to service delivery areas across KGH, including inpatient wards, medication rooms, and hospital pharmacies.

This position is reserved for licensed Pharmacy Technicians or candidates with a background in supply chain and logistics. Regardless of background, applicants are expected to have experience in hospital-based logistics and clinical supply chains to ensure appropriate pharmaceutical oversight, safe handling of medicines and medical supplies, and effective communication between the pharmacy store, clinical service areas, and pharmacy teams. The role also contributes to continuous process improvement and adherence to safety and quality standards.

Essential Duties and Responsibilities:

Pharmacy Store, Supply & Distribution Operations

  • Coordinate and process incoming store requests from KGH service areas, including wards, medication rooms, and pharmacies, ensuring timely, accurate, and complete fulfillment. Prioritize emergency and ad-hoc requests as required.
  • Support routine and urgent distribution of medicines and medical supplies to clinical service areas, ensuring alignment with approved stock lists and service-level needs.
  • Lead the receiving process for incoming shipments, including verification against documentation and physical inspection of goods. Promptly report discrepancies to the Pharmacy Manager and file all relevant documentation.
  • Ensure strict adherence to approved Standard Operating Procedures (SOPs) and pharmacy store processes throughout receiving, storage, and distribution activities.

Storage, Safety & Quality Assurance

  • Ensure appropriate segregation of clinical items to prevent cross-contamination and maintain safety standards.
  • Maintain compliant storage conditions for medicines, including controlled substances, temperature-sensitive products, sterile supplies, and hazardous or flammable materials, in line with regulatory and hospital requirements.
  • Oversee the identification, removal, documentation, and reporting of expired, damaged, or unusable products, ensuring records are updated and filed.

Inventory Control & Reporting

  • Record, investigate, and resolve inventory discrepancies using root cause analysis, and implement corrective and preventive actions.
  • Conduct routine and ad-hoc cycle counts for priority items to maintain inventory accuracy and stock reliability.
  • Produce regular pharmacy store and inventory reports to support data-driven decision-making and continuous improvement.

Capacity Building & Process Improvement

  • Provide mentorship and on-the-job training to store assistants on store workflows, storage best practices, and safety protocols.
  • Support the rollout of new pharmacy store processes, tools, or standards, and monitor their impact on efficiency, accuracy, and performance.

Other Duties

  • Perform any other tasks as assigned by the Pharmacy Manager in support of pharmacy operations.

Education and Work Experience Requirements:

  • Diploma in PharmacySupply chain and Logistics from a recognized institution.
  • Minimum of two (2) years’ experience in pharmaceutical warehousing, hospital stores, or health supply chain operations.
  • Demonstrated experience using electronic inventory management systems (e.g., OpenBoxes or similar).
  • Familiarity with health logistics SOPs and pharmacy store procedures.

Required Skills and Competencies

  • Strong knowledge of pharmaceutical inventory management, cold chain requirements, and controlled drug handling.
  • Ability to interpret clinical needs and communicate effectively with wards, medication rooms, pharmacies, and clinical teams.
  • High level of organization, accuracy, and attention to detail.
  • Strong interpersonal and communication skills, with the ability to work across departments.
  • Proficiency in Microsoft Office and logistics or inventory management software.
  • High ethical standards, accountability, and commitment to patient safety.
  • Demonstrated mentorship and coaching skills to support junior staff development.
  • Ability to work independently, manage competing priorities, and perform under pressure in a fast-paced environment.
  • Willingness to work flexible hours, including weekends or outside regular hours when operationally required.
