The Store Assistant at Kono District Hospital is responsible for supporting the efficient day-to-day operations of the hospital pharmacy store by ensuring proper stock management, maintaining organized storage systems, and picking, packing and delivering of essential medical commodities to the end user units and hospital wards. Key responsibilities include assisting with the reception and distribution of medical supplies and pharmaceutical products, monitoring inventory levels, checking expiry dates, arranging stock, maintaining cleanliness within the store area, and supporting pharmacy staff with routine administrative and operational duties to ensure effective service delivery.

The ideal candidate should possess strong communication and interpersonal skills, honesty, attention to detail, and the ability to work effectively in a fast-paced healthcare environment. Previous experience in pharmacy stores, retail, inventory management, or hospital support services will be considered an added advantage.

Essential Duties and Responsibilities:

1. Receive, inspect, and appropriately store medicines, medical consumables, laboratory reagents, and other health commodities managed under the KGH Pharmacy Store.
2. Provide timely and high-quality patient services to all departments and program requestors.
3. Ensure that all stock transactions are accurately recorded and updated in OpenBoxes electronic inventory management system and on the corresponding paper-based stock cards.
4. Maintain proper filing and archiving of stock cards for stocked-out items in an organized and systematic manner.
5. Monitor and document refrigerator and room temperatures regularly to ensure medicines and other commodities are stored under appropriate conditions.
6. Follow proper picking and packing procedures, ensuring all items are returned to their designated bin locations after picking activities.
7. Ensure stock rotation according to FEFO (First Expiry, First Out) principles to minimize expiries and wastage.
8. Maintain cleanliness, organization, and safety standards within the pharmacy store and storage areas.
9. Monitor and track expired pharmaceutical products and other commodities through the inventory management system to ensure no expired items remain in active stock locations.
10. Promptly notify Supervisors of potential shortages, low stock levels, or anticipated stock-outs
11. Work closely with the other team members to support smooth pharmacy store operations, including routine and periodic physical inventory counts.
12. Ensure all outgoing supplies are accurately checked and verified before dispatch from the pharmacy store.
13. Perform regular check on the pharmacy store space such as the fire extinguishers, SOPs and store layout to activate manager incase of expiration of fire extinguishers and or updates of the SOPs.
14. Perform any other duties assigned by supervisors to support pharmacy store and supply operations.

Education and Work Experience Requirements:

1. High school diploma or equivalent required; additional certification or diploma in logistics, supply chain management, or a related field is an added advantage.
2. Minimum of two (2) years of experience in pharmacy store operations, preferably within a hospital, medical, pharmaceutical, or humanitarian setting.
3. Knowledge of standard pharmacy store operations, stock management, and inventory control procedures

Required Skills and Competencies

1. Good understanding of inventory management principles and pharmacy store best practices.
2. Ability to follow established procedures while contributing to process improvement initiatives.
3. Knowledge of Good Storage Practices for pharmaceutical products and other health commodities.
4. Strong interpersonal skills with the ability to work effectively in multicultural and multidisciplinary teams.
5. Flexible, adaptable, and open to change and new ways of working.
6. Demonstrated integrity, professionalism, honesty, and ethical conduct in all responsibilities.
7. Proficiency in inventory management systems and Microsoft Office applications.
8. Strong communication, teamwork, and organizational skills.
9. Physical ability to lift and move heavy items when required.
10. Demonstrated ability to quickly learn and effectively use electronic Logistics Management Information Systems (e-LMIS).
