Pembina West Co-op is hirning a Petroleum Division Manager to work out of their office in Barrhead, AB

The Petroleum Division Manager will focus on building public awareness and profitability of our Petroleum Department. This individual will identify areas of financial and operational concern and will work with our petroleum team to correct these deficiencies by demonstrating day-to-day behaviors and actions that align with and strengthen the Co‑operative’s vision, mission, values, brand, and a focus on safety.

The Petroleum Division Manager is part of the Petroleum Team and reports directly to the Petroleum Director. The Petroleum Division Manager will work in concert with the Petroleum Team as well as Controller, Human Resource’s, and Loss Prevention Managers to ensure the optimal operation of the petroleum department.

KEY RESPONSIBILITIES PILLARS
Primary responsibilities include, but are not limited to:

People:

  • Provide directions to team members and enforce employee productivity targets for the department
  • Foster an atmosphere of employee engagement by sharing goals, plans and results consistently with your entire team
  • Celebrate successes and acknowledge a job well done
  • Lead, reward and discipline all team members in accordance with Pembina West Co-op policies and procedures
  • Coordinate and attend regular Team meetings and review operational concerns and opportunities
  • Guide team members through training as required
  • Ensure all legislated training is completed by all employees as required. (TDG, WHIMIS ETC)
  • Assist in the development of annual work plans for all team members
  • Semi Annually Review the progress of each team member; recognize their achievements and guide them through required areas of development
  • Provide leadership in the roll-out and implementation of new and existing programs
  • Plan and coordinate commodity-specific courses and seminars for team members with HR
  • Identify training needs the department and work with the Human Resources Department to complete an annual Team Training & Development Plan
  • Identify candidates for potential future development and make Human Resources Department aware of these individuals

Market:

  • Work with the Petroleum Team as well as our Marketing and Media Coordinator’s to help create an annual Petroleum Marketing Plan
  • Be a liaison and public relations representative for the Co-op within the communities we serve, by delivering world-class customer service that is fast, friendly and efficient
  • Exemplify the Co-op brand personality; strive to be Friendly, Caring, Proud, Authentic, Trusted, Honest, Successful and Knowledgeable in each interaction with our members, customers, employees, suppliers, and stakeholders
  • Promote our Co-op brand values: Locally Invested, Community-Minded, and Lifetime Membership Benefits
  • Consistently deliver legendary service to make all guests of our Co-op feel “at home here”
  • Work closely with the Petroleum Director and Marketing Team in developing and implementing successful marketing campaigns to boost sales and consumer awareness of the Co-op value proposition
  • Participate in all major FCL promotions as they apply at your locations
  • Identify external competitive pressures and an effective response to them
  • Follow through our customer contact program. Put together a product and services package that is to be delivered to farmers and commercial businesses and used as talking points for your visits

Operations:

  • Review your Strategic Plan Scorecard quarterly with all Team Members and identify efficiencies
  • Working with the Petroleum Team Leaders to implement operational improvements
  • Work with Petroleum Team Leaders to create an Annual SWOT analysis
  • Work with Team Leaders to complete and annually update your 5-year Strategic Plan
  • Communicate regularly with appropriate Team Members to ensure best practices are being adhered to and each department is achieving, at a minimum, CRS system averages (SPEH, Truck Efficiencies, Liters per employee hour ETC)
  • Identify innovation taking place in individual stores, and share knowledge between managers
  • Inform Petroleum Director of retail operational issues and feedback
  • Act as liaison between our locations and FCL region office regarding ordering, claims, pricing, customer service, product and quality issues, program communication and general troubleshooting
  • Provide timely communication with our locations through e-mails, telephone calls, conference calls, clinics and one-on-one meetings during store visitations
  • Handle employee complaints and incidents, including conflict resolution, accidents, health and safety concerns, work refusals, and investigations
  • Recommended time allocation 40% gas bar, 25% sales team, 25% Whitecourt, and 10% Mayerthorpe/Westlock/Barrhead

Financial:

  • Identify opportunities and deficiencies on sales, margins, expense control, inventory controls, merchandising, marketing standards, security and government regulations; set and enforce clear standards
  • Review financial statements with Petroleum Director following each completed period; identify areas of concern and develop strategies where corrections are required
  • Assist Petroleum Director & Controller in annual department budgeting process
  • Ensure immediate follow-up on all recommendations arising from business reviews, O.A. reports and score cards
  • Assist Team Members in learning Co-op systems, including company policies and procedures, use of the BRIC, TRC & Storepoint software, ordering processes (including Inventory reconciliations), CASMs and planogram implementation, schedule-writing, safety, inventory procedures, and merchandising for margin
  • Ensure fuel pricing is competitive within our trading areas
  • Support Team Leaders in developing literacy and understanding of Co-op financial statements

Sustainability:

  • Assist with store remodels at each location as required
  • Assist in evaluating your department and determine where department renovations are required

  • Control costs that reduce environmental Impacts, such as supplies, power & maintenance
  • Monitor bulk petroleum variances at each location and report variance % by product and location to Petroleum Director within your monthly operation report.
  • Ensure mandatory environmental and maintenance inspections are completed as per provincial and federal regulations & legislation

Required Knowledge, Skills & Attributes:

  • University degree in Business preferred; or a relevant discipline
  • 5+ years relevant management experience; strong knowledge of Petroleum Operations
  • Superior planning, organizational and prioritization skills
  • Ability to identify measures of performance and actions needed to improve or correct performance; strong coaching and mentoring abilities
  • Effective leadership skills, with a strong focus on employee engagement; ability to manage and motivate a large group of people
  • Strong computer skills including Microsoft Office programs (including Word, Outlook and Excel)
  • Valid driver's license (Class 3 with air brakes) with a clean driving abstract
  • Multi-unit management experience preferred
  • Ability to adapt to new technology
  • Excellent internal and external customer service skills
  • High level of integrity and work ethic
  • Ability to deal with people sensitively, tactfully, diplomatically, and professionally
  • Ability to effectively communicate both orally and in writing
