Paid Bi-Weekly

MINIMUM QUALIFICATIONS

  • Ability and willingness to purge, file, move and lift boxes of personnel files, which may weigh up to 20 pounds.
  • Proficient in Microsoft Office Suite, especially Word, Outlook and Excel.
  • Experience and desire to work in a fast-paced, team environment.
  • Excellent communication and interpersonal skills.
  • Ability to multi-task and prioritize responsibilities.
  • Knowledge of office procedures.

PREFERRED QUALIFICATIONS:

Preference will be given to candidates with the following qualifications:

  • Experience working in a Human Resources Office.
  • One (1) year of recent (within the last 12 months) State of Florida Human Resources work experience.
  • One (1) year experience in State of Florida Personnel file creation, monitoring and review.
  • One (1) year experience in State of Florida HR information system usage (People First) as an HR user.
  • One (1) year experience in responding to subpoenas and public records requests.
  • One (1) year experience in State of Florida record retention schedules and file maintenance and destruction.
  • Experience with photo processes and ID and security badge responsibilities is beneficial.

This position provides professional oversight and support duties specific to the functions within a State of Florida Agency Human Resources Office.

  • FDVA Official Personnel File Specialist for current and termed employees. Includes file review and coordination, training and providing technical assistance to the HR Technicians in compiling required documentation and maintaining appropriate files, data and public records.
  • FDVA Workers’ Compensation Documentation Specialist for current and termed employees. Includes processing alerts, filing, review and coordinating with the HR Technicians in compiling required documentation and maintaining appropriate files, data and public records.
  • Responsible for assisting with recruitment and selection procedures, including opening vacancies, placing vacancy advertisements, screening applicants, conducting State of Florida background screening processes, assisting with interview and hiring processes and documentation, and communicating with applicants during all phases of hiring and separation procedures.
  • Responsible for compiling, reviewing, responding and assisting in the response to subpoenas, record requests, legal requests, documentation requests, and public records requests for the Bureau of Human Resources.
  • FDVA Directory and People First Specialist for contact lists, information requests, searches, queries, and data tasks as needed.
  • Agency Specialist for the FDVA photo ID badge, security badge and DMS parking tag programs. Enters and deletes payroll deductions as needed into People First.
  • Responsible for employment and unemployment verification requirements and response and employment reference requests. Provides administrative support and back up to all HR staff as needed. Responsible for tracking record retention schedules for HR files.
  • Back-up for Attendance and Leave, Payroll, Classification, Organizational Management and other related HR duties and responsibilities as assigned.
  • Keeps the HRO informed at all times of all new and/or unusual situations. Performs other related duties as assigned, required and/or necessary to complete the responsibilities of the FDVA Bureau of Human Resources.
  • Other duties as assigned by Human Resource Officer.

This is a Selected Exempt Service position.
