Essential duties and responsibilities include, but are not limited to:
- Operates a multi‑service Personal Property Processing and Shipping Office (PPPO/PPSO) in accordance with all governing regulations and established support hours.
- Controls the efficient flow of personal property information, documentation, and shipment actions from initial customer contact through final delivery to meet customer and regulatory requirements.
- Ensures customer service, accuracy, and timeliness objectives are met while supporting transportation and personal property program goals.
- Provides counseling to service members and eligible customers on personal property entitlements, responsibilities, and shipment options in accordance with the Defense Transportation Regulation (DTR) Part IV and the Joint Travel Regulation (JTR).
- Assists customers with the Defense Personal Property System (DPS), including shipment applications, claims guidance, and entitlement clarification.
- Performs front‑office shipment management functions for inbound and outbound Household Goods (HHG), Unaccompanied Baggage (UB), and Personally Procured Moves (PPMs).
- Books shipments, coordinates storage requirements, manages Storage‑In‑Transit (SIT), and processes Non‑Temporary Storage (NTS) extensions.
- Conducts quality control inspections of personal property shipments and monitors Transportation Service Provider (TSP) performance to ensure compliance with service standards.
- Processes administrative actions including invoices, claims for loss or damage, and all required forms (e.g., DD 1299, DD 1797).
- Maintains customer sign‑in logs and ensures follow‑up for Customer Satisfaction Survey (CSS) completion.
- Maintains records in accordance with AR 25‑400‑2 and assists in establishing and updating External SOPs.
- Integrates lessons learned from customers, TSPs, and regulatory updates to improve office efficiency and service delivery.
- Performs additional duties as required to support program requirements.
Qualifications
- Must possess or be able to obtain and maintain a Secret clearance.
- Minimum of one (1) year of demonstrated experience within the last five (5) years in a transportation or personal property office.
- Experience counseling customers on entitlements and processing shipment applications in accordance with DTR Part IV or JTR.
- Experience with personal property shipment processes, HHG/UB coordination, and PPM procedures.
- Ability to perform quality control inspections and evaluate TSP performance.
- Strong verbal and written communication skills with the ability to explain entitlements and procedures clearly.
- Ability to work independently in a fast‑paced environment, manage multiple tasks, and meet strict deadlines.
- Proficiency with office automation tools and ability to maintain accurate records and documentation.
- Ability to learn and apply regulatory guidance and system updates.
- Experience using DPS or similar transportation management systems preferred.
Supervisory Responsibilities
- None required for this position.
Security Responsibilities
- Must comply with all company and DoD information systems security policies and procedures.
- May be responsible for proper handling, safeguarding, and classification of sensitive information.
- Must sign a company non‑disclosure agreement prior to accessing controlled information.
Certificates, Licenses, and Registrations
- Valid state driver’s license and passport required.
- Training or certification in transportation, personal property, or DPS operations is beneficial but not required.
Reasoning Ability and Mathematical Skills
- Must be able to analyze problems, collect data, establish facts, and draw valid conclusions.
- Ability to interpret complex entitlements, regulatory requirements, and customer needs.
- Must be able to calculate weights, entitlements, and shipment‑related figures.
Work Environment and Physical Demands
- Work may involve fast‑paced customer service operations, multiple concurrent tasks, and strict timelines.
- Must be able to lift and/or move up to 50 pounds as required for inspection or shipment verification tasks.
- Work environment may include interaction with customers, TSPs, and various transportation stakeholders.
