Job Description

Full Time | 4 days per week onsite | NYC

The Local Project is one of the fastest-growing design publications across Australia, New Zealand, and North America. We celebrate extraordinary local design and its global impact through premium print, digital, video, and social content. With over 100 million impressions per month, we’re redefining design media on a global scale. In 2024, we expanded with The Local Production, a full-service creative agency dedicated to elevating brands through strategic storytelling and high-end content creation.

The Personal Assistant to the Chief Partnerships Officer (CPO) is a high-impact role providing comprehensive support in the early stages of our US expansion. Reporting directly to the CPO, this position ensures the smooth management of the CPO’s daily operations and initiatives. The assistant will act as a trusted right-hand, handling everything from complex calendar management and travel coordination to stakeholder communications. As part of a dynamic design-focused media brand, the role requires exceptional organizational skills, professionalism, and the ability to anticipate needs in a creative, growth-oriented setting.

The Role

Manage the CPO’s schedule and priorities including coordinating calendars, booking travel, arranging meetings, and organizing events. Handle day-to-day administrative tasks such as preparing meeting agendas, briefing documents, and presentation materials to ensure the CPO is fully prepared for all engagements.

Screen and direct emails, phone calls, and correspondence with professionalism, ensuring prompt follow-up on urgent matters. Act as a liaison between the CPO and internal teams or external partners, maintaining positive relationships and conveying information accurately on the CPO’s behalf.

Plan and facilitate meetings and events from start to finish. This includes scheduling across multiple time zones, securing venues or conference logistics, compiling necessary materials, taking notes, and tracking follow-up action items. Coordinate cross-departmental efforts (e.g. with editorial, marketing, or production teams) to support partnership initiatives and special projects as directed by the CPO.

Oversee the CPO’s administrative needs such as expense reconciliation, file management and office management, ensuring compliance with company policies. Manage confidential records and information with the utmost discretion. Contribute to ad-hoc projects, research, or presentations related to sales and assist other executives or team members when necessary to foster a collaborative team environment.

About You

3+ years of experience supporting business leaders, preferably in the media, marketing, or creative industries. Proven track record of managing complex calendars, travel, and workflow in a high-energy setting.

Outstanding organizational and time-management skills with the ability to juggle multiple priorities and adapt to last-minute changes. Excellent verbal and written communication abilities, with a polished, professional approach. Strong proficiency in productivity and collaboration tools (e.g. Microsoft Office 365, Slack, Canva, Adobe, Google Workspace); ability to create presentations and reports is a plus.

High level of confidentiality, discretion, and integrity in handling sensitive information. A proactive problem-solver with a keen attention to detail and a “no task is too small” mentality. Comfortable working independently and anticipating needs, while also being a team player who can coordinate across departments.

Bachelor’s degree in Business, Communications, or a related field, or equivalent experience. An understanding of the media/advertising landscape or a passion for design and digital content is advantageous, aligning with The Local Project’s creative culture.

Salary Range:

$60,000 – $80,000 per year (USD)

Actual compensation will depend on the candidate’s experience, skills, and fit for the role.

The Local Project

About The Local Project

The Local Project celebrates extraordinary design across a range of platforms, championing the best from industry leaders and emerging designers alike. After launching in 2016 with a focus on Australian architecture and design, we broadened our scope in 2019 to include New Zealand, and again in 2023 to encompass North America. Our print periodical features three titles – The Local Project, The Commercial Project and The Local Marketplace – and we recently launched our first hardcover book, 10, compiling highlights from our first 10 issues in print.

We are honoured to have been recognised twice at the Mumbrella Publish Awards; in 2022, we were awarded Best Use of Video for our video of James Stockwell Architect’s Bunkeren and in 2023, we were named Publication of the Year. Our hardcover book was also highly commended for Special Edition of the Year.

Our audience is a genuine cross-section of the design community, encompassing design-lovers and industry professionals. As such, we aim to inform, educate and inspire, exploring current questions, ideas and conversations through compelling and informed content. As we continue to grow, cultivating authentic and engaged communities is a vision that remains at our very core.
