The Personal Assistant provides high-level executive and administrative support to the CMO, while acting as a central point of coordination for the Marketing Leadership Team. This role ensures the CMO’s time, priorities, and communications are managed with precision, and drives organization, efficiency, and connectivity across the marketing department.

Essential Duties and Responsibilities

  • Act as the primary point of contact between the CMO, internal teams and external partners.
  • Proactively manage the CMO's calendar, balancing business priorities, international time zones and changing schedules.
  • Coordinate presentations, meeting materials and executive documents.
  • Organize domestic and international travel, accommodation and detailed itineraries.
  • Prepare and submit monthly expense reports.
  • Organize and maintain digital and physical files.
  • Handle confidential information with the highest level of discretion.
  • Provide administrative and personal support to maximize the CMO's effectiveness.
  • Be a trusted point of contact for the Marketing Team. Keep the department organized, connected and engaged. Foster collaboration and effective communication.
  • Coordinate department meetings, business reviews, planning sessions, workshops and key milestones. Coordinate logistics and distribute pre-read materials.
  • Synchronize marketing department calendars across multiple stakeholders to ensure efficient scheduling and alignment.
  • Track actions, requests and key decisions if needed
  • Partner closely with Executive Assistants and administrative teams across the business to coordinate cross-functional activities.
  • Organize team-building activities.
  • Coordinate onboarding and help create a welcoming experience for new team members.
  • Leverage AI and productivity tools to improve speed, organization and administrative efficiency.
  • Identify opportunities to simplify recurring administrative processes.
  • Continuously improve team workflows and ways of working. Champion efficient, organized and scalable administrative practices.

Requirements

  • Demonstrated success supporting a senior executive (CMO, CEO, or equivalent) in a fast-paced, global organization, with the judgment to anticipate needs and manage competing priorities without close direction.
  • Proven ability to coordinate complex, multi-stakeholder calendars and cross-functional activities across time zones, keeping a leadership team aligned, organized and informed.
  • Track record of handling confidential and sensitive information with the highest level of discretion and professionalism.
  • Strong written and verbal communication skills, with the confidence to liaise directly with senior leadership, external partners and cross-functional teams.
  • Comfortable leveraging AI and productivity tools to simplify recurring administrative processes and improve organizational efficiency.
  • Experience organizing domestic and international travel, detailed itineraries and expense reporting for senior stakeholders.
