Our client, a fast-growing company operating within the Proprietary Trading / Fintech space, is looking for a highly organised, proactive, and professional Personal Assistant to the CEO to join their team in Dubai.
This is an exciting opportunity for someone who thrives in fast-paced environments and enjoys operating at the centre of business operations, executive coordination, and strategic initiatives. The ideal candidate will have previous experience supporting senior executives and exposure to Prop Trading, Brokerage, Forex, or Fintech environments would be highly advantageous.
You will play a key role in supporting the CEO across executive, operational, and business functions while ensuring smooth day-to-day coordination across multiple departments and stakeholders.
Manage the CEO’s calendar, appointments, meetings, and travel arrangements efficiently
Coordinate internal and external meetings including agendas, documentation, presentations, and follow-ups
Manage emails, messages, and executive correspondence
Handle confidential information and sensitive business matters with professionalism and discretion
Organise and maintain contracts, executive documentation, reports, and company records
Act as a key point of contact between the CEO and internal departments, external partners, and stakeholders
Coordinate with teams including:
Operations
Compliance
Finance
Marketing
HR
Trading Support
Follow up on projects, action points, and pending items to ensure deadlines are met
Prepare reports, summaries, presentations, and meeting minutes
Support initiatives related to proprietary trading operations and strategic business projects
Coordinate with platform providers, liquidity providers, payment partners, and operational teams where required
Stay informed on market developments, industry trends, and relevant regulatory updates
Assist with company launches, campaigns, competitions, and internal initiatives
Track ongoing projects and ensure cross-functional execution
Assist with business expansion initiatives and operational improvements
Support executive planning and high-priority business activities
Maintain trackers, reports, and operational updates
Arrange business travel, hotel bookings, transportation, visas, and itineraries
Coordinate conferences, networking events, meetings, and company activities
Support executive hospitality and VIP arrangements when required
3–5+ years of experience as a Personal Assistant, Executive Assistant, or similar position
Previous experience within Proprietary Trading, Brokerage, Forex, Trading, or Fintech industries is highly preferred
Strong understanding of business operations within fast-paced financial environments
Excellent verbal and written English communication skills
Strong organisational and multitasking skills
Ability to handle sensitive information with a high degree of confidentiality
Strong time management and prioritisation skills
Proficiency with:
Microsoft Office Suite
Google Workspace
Project management tools
Comfortable working under pressure and adapting to changing priorities
Experience working with international teams and remote environments
Familiarity with:
Trading platforms
CRM systems
Fintech operations
Previous experience supporting C-level executives in high-growth organisations
Strong problem-solving and decision-making skills
