Job Description

This is an outstanding opportunity to partner directly with the SVP & Global Head of Immunology and the Immunology leadership team, enabling high-impact science and decision-making across the UK, US, Sweden, and other strategic R&D sites!

You will be the connective tissue that keeps a complex leadership agenda running at speed—anticipating needs, orchestrating executive routines, and simplifying how leaders work. By applying sound judgment, executive presence, and advanced digital proficiency, you will help convert scientific ambition into execution, ensuring portfolio and organizational priorities progress without friction.

Accountabilities: Executive Calendar and Prioritization: Command a fast paced executive calendar, protect time for the most critical priorities, and coordinate complex meetings across global time zones to maintain momentum on strategic deliverables.

Global Travel and Logistics: Plan and manage end-to-end travel, visas, and high-profile conference itineraries; pre-empt risks and ensure leaders arrive prepared with the right information and materials.

Financial Operations and Compliance: Manage Travel & Expenses, process expenses, and raise/receipt POs in line with policy to support timely, compliant operations.

Digital Productivity and Knowledge Management: As an advanced user of Outlook/Teams, SharePoint/Box, Concur, Coupa, and AI tools (including MS Copilot, AZ ChatGPT, Notebook LLM), streamline workflows, maintain structured repositories, and optimize collaboration spaces for easy access and version control. Draft emails, invitations, and readouts. Compose concise summaries that support quick decision-making. Work discreetly while anticipating needs and solving issues independently in a fast-paced environment.

Leadership Team Support and Special Projects: Provide agile administrative support across the leadership team; run ad hoc projects and meetings; respond to special requests and emerging priorities with speed, accuracy, and good judgment.

Cross-Functional Coordination and Governance: Collaborate with the Business, Planning and Operations (BPO) network and partners across functions to drive continuity, execution, and optimization of team activities, processes, and business-critical deliverables, including external scientific and governance engagements.

Essential Skills/Experience:

  • High School Diploma or GED required
  • 5+ years of experience in an administrative role supporting complex projects
  • Entrepreneurial problem-solver with excellent judgment, discretion, and resilience in a high-velocity R&D environment.
  • Strong written and verbal communication skills with the ability to interact confidently with executives and senior scientists and partners.
  • Demonstrated experience supporting VP/C-suite leaders within biotech/pharma R&D.
  • Proven track record to operate autonomously while collaborating effectively across matrixed, global teams.
  • High agility and adaptability to shifting priorities, deadlines, and confidential matters.
  • Advanced proficiency in Microsoft Outlook, Teams, Word, PowerPoint, and Excel; adept at virtual meeting and AV coordination.
  • Experience with enterprise systems (SharePoint/Box, Concur, Coupa) and supporting users with software updates and troubleshooting.
  • Experience and comfort with AI productivity tools (e.g., MS Copilot, AZ ChatGPT, Notebook LLM) and strong awareness of responsible use and data handling.
  • Strong time-management skills with the ability to multitask and maintain accuracy; consistent delivery of concise, executive-ready materials.
  • Extensive experience in a similar role within a fast-paced, global setting. Desirable Skills/Experience:
  • Prior experience in Respiratory, Immunology, Cell & Gene Therapy, or Translational/Clinical Development environments, including familiarity with scientific and governance rhythms (e.g., portfolio reviews, IND/IMPD milestones).
  • Previous experience in Pharmaceutical, Biotechnology, or Healthcare sectors; AstraZeneca experience strongly preferred.
  • Demonstrated capability to organize scientific reviews, external advisory boards, and high-profile partner interactions.
  • Strong IT proficiency and ability to optimize collaboration spaces, templates, and document version control.
