About the role

SEIB Insurance Brokers, who are proudly part of Benefact Group, are looking for a Personal Assistant to join our South Ockendon office.

We're looking for a confident and experienced Personal Assistant to provide exceptional support to the CEO and wider SEIB Leadership Team. This will be a multifaceted role, requiring you to anticipate needs, manage complex and competing priorities, confidently challenge diaries to maximise effectiveness, and build exceptional relationships with key stakeholders across the Group.

As a Personal Assistant, you will play a key role in coordinating Board and Leadership Team meetings, including executive diary management, the preparation and collation of meeting papers, minute-taking, and any follow up actions.

Alongside these responsibilities, you will oversee office management and administrative operations across SEIB locations, helping to create a professional, efficient, and welcoming working environment. You'll act as a central point of contact for people engagement and wellbeing initiatives, organising company events, recognition programmes, and social activities that foster a positive, inclusive, and engaging workplace culture.

What you'll be doing

  • Provide proactive, confidential PA support to the CEO and Senior Leadership Team, managing complex diaries, correspondence, meetings, travel arrangements, and competing priorities.

  • Coordinate and support Board, Director, Management, and other key meetings, including agenda preparation, paper collation, minute-taking, action tracking, and the production of high-quality reports and presentations.

  • Act as office manager for all SEIB locations, overseeing office operations, managing facilities, procurement, suppliers, contractors, and workplace resources to ensure an efficient working environment.

  • Ensure compliance with Health & Safety requirements, document governance processes, and company approval procedures, while maintaining accurate records and regularly visiting all three sites (Cheltenham, South Ockendon and Colchester) when required.

  • Line manage and develop the Administration team, while leading people engagement, wellbeing, recognition, charity, and social initiatives.

What you'll need to have

  • Proven experience within a senior personal assistant/executive support role.

  • Highly organised and proactive, with excellent attention to detail and the ability to effectively manage multiple priorities, deadlines, and stakeholder demands.

  • Strong communication and relationship-building skills, with confidence working with senior stakeholders, external partners, and colleagues at all levels.

  • Experienced in coordinating meetings, producing accurate minutes, and supporting complex business discussions with discretion and confidentiality.

  • Experience organising company events, colleague engagement initiatives, and incentive programmes.

  • Proficient in Microsoft Office applications (Outlook, Word, Excel, and PowerPoint), with a flexible, collaborative approach and willingness to travel between office locations when required.

What makes you stand out

  • Previous experience in an office management role.

  • Previous experience in the equine sector would be advantageous but is not essential.
