The purpose of this job

To provide a high level of professional administrative support to Director(s) and/or General Manager(s) within the Health Insurance business and their respective teams ensuring an efficient, organised working environment.

What you’ll need to make it possible

  • 3+ years providing personal assistant support at a senior manager
  • Proven ability to meet strict deadlines in an organised manner
  • Proven problem identification and resolution skills

Competencies:

  • Professional presence, presentation and interpersonal skills, including the ability to build rapport and trust and work with, and across team environments
  • Experience in utilising judgment, confidentiality and discretion at a senior support level
  • Strong stakeholder management, with the ability to engage with Executives and Business Leaders, and all people throughout the organisation to achieve shared outcomes

Technical Skills:

  • Microsoft Outlook (Advanced), and Microsoft Word, Microsoft Excel, Microsoft PowerPoint (Intermediate)
  • Microsoft Teams
  • Accurate word processing skills with attention to detail

What you’ll be doing in this role:

  • Provide high level business administrative support to the Director(s) and/or General Manager(s) within the Health Insurance business and their team by understanding the business and supporting the delivery of key priorities and deliverables.
  • Extensive inbox and calendar management including coordinating meetings, preparing background information, pre-read material, agendas and recording of action items.
  • Act as a point of contact for internal and external parties where appropriate, including prioritising and distributing emails, correspondence and mail.
  • Prepare presentations, written reports, spreadsheets, documents, quality assess reports and prepare ad- hoc reports as required.
  • Provide timely and accurate preparation of tactical administrative support activities for the Director(s) and/or General Manager(s) and their team, including:
    • Expense management – reconcile corporate cards and expense reimbursements on a monthly basis.
    • Travel management – book travel in line with the Bupa travel policy.
    • Invoice management – raising purchase orders, payment requests, ensuring timely approval and recording of accounts and information.
    • Event management – supporting team events including catering, venue bookings and logistics.
    • Recruitment management – onboarding/offboarding of all new starters within the team.
