We are looking for an experienced and operationally strong Talent Acquisition Shared Services Manager to lead the backend recruitment support operations within a centralized Shared Services / Talent Services environment. This role is not responsible for front-end recruiting or direct talent sourcing; instead, it focuses on enabling and supporting the Talent Acquisition teams through efficient execution of recruitment operations, governance, coordination, process management, SLA adherence, reporting, documentation, systems support, and stakeholder service. This role requires strong expertise in shared services delivery, operational excellence, process governance, service management, people leadership, and recruitment administration within a fast-paced global environment.

Key Responsibilities

  • Talent Acquisition Shared Services Operations
  • Manage and oversee day-to-day Talent Acquisition shared services operations supporting regional/ global teams.
  • Ensure smooth execution of backend recruitment activities including:
    • Requisition creation and management.
    • Interview scheduling and coordination.
    • Offer documentation support.
    • Recruitment documentation and compliance checks
    • Candidate data management.
    • System updates and tracking.
    • Onboarding coordination support.
    • Recruitment-related query management.
    • Background verification coordination support.
    • Employment and hiring documentation processing.
  • Ensure operational activities are delivered accurately and within defined SLAs and KPIs.
  • Drive operational consistency, standardization, and process adherence across all TA support activities.
  • SLA, Governance & Service Delivery Management
  • Monitor and manage service delivery performance against agreed SLAs, turnaround times, and quality standards.
  • Function as the escalation point for operational issues, delays, and service-related challenges.
  • Conduct regular governance reviews with stakeholders and leadership teams.
  • Ensure compliance with internal policies, audit requirements, and data privacy regulations.
  • Maintain process documentation, SOPs, knowledge repositories, and operational guidelines.
  • Support internal and external audit requirements related to recruitment operations.
  • Stakeholder & Customer Support Management
  • Serve as a key operational partner to front-end Talent Acquisition teams, HR Business Partners, hiring stakeholders, and global HR operations teams.
  • Ensure high-quality support and timely resolution of recruitment operational requests and queries.
  • Build strong working relationships with recruiters, hiring managers, onboarding teams, payroll, mobility, and HR operations teams.
  • Drive stakeholder satisfaction through responsiveness, operational efficiency, and proactive communication.
  • Team Leadership & Capability Building
  • Lead, manage, and develop a team of TA coordinators, recruitment support specialists, and shared services analysts.
  • Ensure effective workload distribution and operational coverage across regions and business units.
  • Conduct regular performance reviews, coaching, mentoring, and capability development initiatives.
  • Foster a customer-centric, process-driven, and collaborative team culture.
  • Support resource planning, backup planning, and succession readiness within the team.
  • Recruitment Systems & Process Management
  • Support system-related activities including data maintenance, reporting accuracy, workflow tracking, and issue resolution coordination.
  • Partner with HRIS/HRMS/technology teams for process improvements, automation initiatives, and system enhancements.
  • Identify opportunities to streamline workflows and improve operational efficiency through digitization and automation.
  • Continuous Improvement & Transformation
  • Drive continuous improvement initiatives within Talent Acquisition Shared Services operations.
  • Support process transition, migration, and centralization activities.
  • Participate in global TA transformation programs and operational excellence initiatives.
  • Apply Lean, Six Sigma, or process optimization methodologies where applicable.
  • Ensure scalability and operational readiness for changing business demands.

Required Qualifications & Experience

  • Education
  • Bachelor’s degree in human resources, Business Administration, Operations, or related field.
  • MBA / PGDM preferred.
  • Experience
  • 14+ years of experience in HR Shared Services, Talent Acquisition Operations, Recruitment Coordination, or Talent Services environments including at least 4 years of leadership experience managing people.
  • Strong experience in backend recruitment operations and service delivery management.
  • Prior experience managing shared services teams supporting global or regional TA functions.
  • Experience working in matrixed/ global organizations preferred.
  • Exposure to transition management, process migration, or centralized operations setup is an advantage.
