We are a newly established People Services team based in Kuala Lumpur, strengthening our capabilities across Payroll, Employee Lifecycle (ELC), Learning & Development (L&D), Talent Acquisition (TA), and Compensation & Reward. As part of a phased transformation journey, we are supporting the transition of selected activities across the organization. Our objective is to build a centralized hub that delivers efficient, consistent, and virtual HR services on a global scale.

Main Goals

  • Responsible for the coordination of payroll operations for a team.
  • Ensure efficient and smooth day-to-day Payroll/HR operations.
  • Provide support and advice to the team members, employees and managers on a wide range of Payroll/HR related issues.
  • Ensures compliance and drives process improvements to deliver accurate and timely employee payments.
  • Keep in mind the company's strategy, values and targets when helping employees.

Accountability and Responsibilities

  • Team Leadership: Supervise, motivate, and mentor a payroll team, including Payroll Officers and administrative staff, ensuring efficient allocation of resources and workload management.
  • Payroll Processing: Oversee high-volume payroll operations, verify accurate calculation of wages, tax withholdings, deductions, and benefits, and ensure timely payment to employees.
  • Compliance and Auditing: Ensure payroll activities comply with legislation, industrial relations requirements, and internal policies; conduct audits and present findings to internal or external auditors.
  • Process Improvement: Review, monitor, and implement new payroll processes to enhance efficiency, accuracy, and service levels.
  • Stakeholder Management: Act as the point of contact for escalated payroll queries, liaise with internal departments and external vendors, and communicate complex payroll information clearly to employees.
  • Reporting: Prepare payroll reports, including employee pay, leave balances, commissions, and bonuses, and maintain payroll documentation and intranet resources.

YOUR SKILLS & EXPERIENCES

Experience Requirements

  • 8+ years in Payroll, HR, business, administration or related field.
  • Proven experience as a Payroll Team Leader for at least 2 years or in a senior payroll role, with a track record of managing teams and payroll operations.
  • Experienced in handling payroll system, preferably SAP Payroll and extensive knowledge of Microsoft excel and office.
  • English business proficiency required and other language proficiency is an added value.
  • Experience in constructively collaborating with internal stakeholders.
  • Familiarity with high-volume payroll environments and compliance with relevant legislation.

Knowledge and Skills Requirements

  • Strong analytical and problem-solving skills to resolve payroll discrepancies and complex issues.
  • Ability to handle confidential and sensitive information with discretion.
  • Excellent interpersonal & communication skills.
  • Ability to work effectively with individuals at all levels of the organization.
  • Ability to mentor and develop team members, fostering a collaborative and high-performing environment.
  • Organizational and time management skills to meet payroll deadlines and manage multiple priorities.
  • Technical payroll knowledge, including payroll software, tax regulations, and benefits administration.
