In this role, you will lead the daily delivery of personnel administration, payroll coordination, and employee lifecycle support, ensuring 100% data accuracy, statutory compliance, and predictable service standards.

Reporting to the People Operations Services & Planning Manager, you will lead and empower an operational team, drive process standardization, and ensure our employee service experience is efficient, modern, and high-performing.

Key Responsibilities:

1.Employee Lifecycle Administration:

  • Coordinate end-to-end personnel administration processes (hiring, contract modifications, suspensions, status changes, and terminations).
  • Ensure strict compliance of all employment documentation with local labor legislation, Collective Bargaining Agreements (CBA), Internal Regulations, and company policies.
  • Oversee statutory reporting (including ReGES), ensuring accurate records and timely data reconciliation across platforms.

2.Payroll Operations Coordination:

  • Lead monthly pre-payroll operational inputs, ensuring all variable data, changes, and documentation are verified and submitted on time.
  • Execute internal pre- and post-payroll checks to ensure accuracy, partnering closely with the People Ops Manager, Rewards, and Finance.
  • Resolve payroll discrepancies promptly and implement preventative controls to eliminate recurring errors.

3.Service Quality & Employee Support:

  • Deliver predictable, client-focused HR administration services to employees and line managers.
  • Define and monitor Operational SLAs and response times for employee inquiries, certificates, and operational requests.
  • Analyze ticket/request trends to identify root causes and eliminate manual, repetitive workloads.

4.Compliance, Internal Controls & Process Optimization

  • Maintain robust internal controls and conduct regular audits on personnel data and documentation to ensure internal and external audit readiness.
  • Partner with the HRIS Specialist to identify continuous improvement, process standardization, and automation opportunities.
  • Ensure adherence to Integrated Management System (SMI) standards, Occupational Health & Safety (OHS), and internal risk guidelines.

5.Team Leadership & Development

  • Lead, coach, and mentor the People Operations Services team to achieve operational excellence.
  • Set clear quantitative and behavioral goals, managing team bandwidth and task distribution effectively.
  • Foster a positive, inclusive, and compliant work environment grounded in collaboration and continuous improvement.

Candidate Profile

Must-Have Requirements:

  • Education: Bachelor’s degree in Human Resources, Economics, Law, Business Administration, or a related field.
  • Experience: Minimum 5 years of relevant experience in personnel administration, payroll coordination, or HR operational services, including proven experience leading a team or coordinating complex operational processes.
  • Expertise: Strong working knowledge of local labor legislation, payroll mechanics, and statutory HR compliance requirements.
  • Capabilities: Hands-on experience managing structured workflows, internal controls, and operational deadlines.
  • Languages: Advanced English fluency.

Nice-to-Have (Ideal Qualifications):

  • Hands-on system experience with Charisma HCM, SAP / SuccessFactors, and ReGES.
  • Practical knowledge of process improvement, HR process automation, or HR Service Management tools.

What We Offer
