Job Description Summary:

We are looking for an experienced People Operations Expert to join our People Operations team to manage, owning the end-to-end employee experience for HR queries, transactions, and processes. This role blends a strong service ethos with hands-on knowledge of Italian payroll, employment legislation, and HR administration, ensuring full compliance with labour law, statutory requirements, and collective bargaining agreements (CCNL Metalmeccanico Industria Privata, CCNL Commercio, Terziario e Servizi, CCNL per i Dirigenti di Aziende Produttrici di Beni e Servizi).

The role requires a hands-on HR professional who can move between employee support, payroll and benefits administration, HR systems, process optimisation, and compliance activities, while serving as a trusted advisor on Italian employment practices within a global organisation.

Job Description:

Key responsibilities

  • Own and coordinate all payroll-related activities for Italy in partnership with the external payroll provider, ensuring accuracy, compliance, and timely execution of monthly and annual payroll cycles. This includes managing employee lifecycle events, compensation changes, time and absence administration, benefits, employee queries, employment-related payments and settlements, social security and insurance administration, statutory reporting and regulatory requirements (e.g. Certificazione Unica, Modello 770, INAIL annual self-assessment, INPS reporting, pension funds, supplementary healthcare schemes and mandatory declarations), as well as audits, year-end activities, TFR administration and compliance with tax and employment regulations.
  • Act as the first point of contact for employees and manages via the HR ticketing system, owning resolution from intake to close queries within agreed SLAs
  • Ensure compliance with Italian labour law, collective bargaining agreements (CCNL), tax and social security regulations.
  • Prepare, review, and manage employment offers, contracts, amendments, probationary period documentation, termination documentation. Manage the activation and administration of internship programmes in collaboration with external providers.
  • Oversee time & attendance, absences, parental leave, and sickness administration in F2A
  • Coordinate employee documentation and personnel file management, ensuring data accuracy and compliance with GDPR requirements.
  • Manage HR data and organizational updates in Workday and other HR systems, ensuring the integrity of employee records and supporting system testing and process improvements.
  • Support HR audits, statutory inspections and reporting obligations, providing documentation and maintaining compliance records.
  • Liaise with payroll providers, tax advisors, legal counsel, benefits vendors, insurance brokers and external authorities.
  • Coordinate protected categories (L.68/99) administration and relationships with employment offices and external authorities where applicable.
  • Own and manage employee insurance and benefits programmes, including policy administration, annual renewals, vendor relationships, employee enrolment and support for healthcare, pension, life, accident, travel and executive insurance schemes.
  • Manage the CEO’s payroll and compensation administration, acting as the key liaison between Italian and US payroll providers, external tax advisors, and internal stakeholders. Oversee the application of tax equalisation arrangements, executive benefits, and compensation-related matters, ensuring accurate payroll processing, compliance with applicable tax regulations, and fulfilment of all reporting and statutory requirements.
  • Support employee lifecycle administration (onboarding, changes, offboarding)
  • Champion a continuous improvement mindset – proactively flag friction points in existing processes and propose fixes
  • Partner with the wider People Operations and People Business Partner teams to ensure consistency, joined up support across the employee journey

Qualification

  • 3-5 years of experience in payroll and HR administration within Italy.
  • Solid knowledge of Italian labour law, payroll processes and regulations, and CCNL frameworks.
  • Experience with HRIS and payroll systems; knowledge of Workday is a plus.
  • Familiarity with ticketing or case management tools is desirable.
  • Experience managing HR administration across other European countries is a plus
  • Fluent English, both written and spoken, is mandatory.
  • Excellent organisational skills and strong attention to detail.
  • Proactive mindset with a strong focus on accuracy and excellence.
  • Strong communication and stakeholder management skills.
  • Ability to work autonomously while collaborating effectively with cross-functional teams.

Education

  • Bachelor’s degree in Human Resources, Business Administration, Economics, Law, or a related field.
  • A Master’s degree or professional certification in Payroll, Labour Law, or Human Resources is considered a plus.

Salary range: 42K-47K + variable bonus and benefits

The compensation range indicated in the job posting represents an estimated average range for the position. The final remuneration will be determined based on the selected candidate’s experience, skills and qualifications, in accordance with EU pay transparency.
