The Role

As a seasonal People Logistics Coordinator, you will play a key role in supporting our employees throughout their journey with Rhythm, helping them settle into life and work in Japan and ensuring they have a positive and supported experience.

Your role will go beyond day-to-day P&C administration. You will be a reliable point of contact for seasonal employees, providing guidance and support on a wide range of work and life-related matters, including accommodation, onboarding, transportation, local procedures, and general wellbeing. You will work closely with the People Partner and Property teams to help resolve issues and ensure seasonal employees feel supported throughout their time with us.

Key Responsibilities and Duties

Onboarding and Offboarding Support

  • Support the People Admin team with seasonal employee onboarding and offboarding activities, including accommodation arrangements, staff arrivals and departures, uniform distribution, and other administrative tasks as required.
  • Coordinate and support seasonal staff pick-ups and drop-offs as part of the arrival and departure process.
  • Assist the P&C / Admin team with administrative tasks and documentation as required.
  • Support a smooth and positive onboarding and offboarding experience for seasonal team members.
  • Onboard and inform new team members on house rules, self-inspection, and local rubbish/gomi disposal procedures).

Community and Events

  • Plan and coordinate regular events and activities for seasonal staff to encourage connection, engagement, and a positive team community.
  • Organise and host staff events throughout the season, working with relevant teams and external partners where required.
  • Support initiatives that contribute to a welcoming and inclusive environment for seasonal employees.

Seasonal Staff & Accommodation Support

  • Support seasonal employees with practical matters during the season, including accompanying or assisting them with hospital visits when necessary.
  • Act as the primary liaison for all staff accommodation inquiries, fostering positive communication and a supportive living environment.
  • Resolve inter-tenant disputes and staff complaints professionally, collaborating with P&C and the Property Team for timely resolution or necessary escalation.
  • Communicate and enforce accommodation regulations, including quiet hours (post-10 PM), neighbor relations, and the prevention of unauthorized gatherings.
  • Formally document and report housing policy violations or persistent behavioral issues to the appropriate authorities.

Facilities, Cleanliness & Physical Maintenance

  • Conduct routine housing inspections, check-out room assessments, and safety audits to ensure compliance with established cleanliness standards.
  • Promptly identify and report maintenance, structural, or safety hazards to the Property Team, assisting with physical lifting and moving of equipment as needed.
  • Monitor, maintain, and distribute inventory for cleaning supplies, linens, appliances, furniture, and basic furnishings.
  • Perform physical duties as required, including cleaning, snow clearing, and lifting.

Emergency Response

  • Respond swiftly to after-hours emergencies or incidents, ensuring proper safety protocols are followed and critical issues are escalated immediately.

Operational Support

  • Provide support to other teams and business operations as required during the season.
  • Assist with accommodation cleaning, room preparation, and other property-related tasks when required.
  • Support the wider team during busy periods and contribute to the smooth day-to-day operation of the property.
