Position Overview

The People & Culture Operations Coordinator supports daily office needs, employee resources, travel, and corporate card administration. This role helps keep the office organized and employee requests moving by maintaining clear procedures, accurate records, and timely follow-up.

Job Responsibilities and Requirements

Office Operations and Workplace Support

  • Coordinate day-to-day office operations, including supplies, shared spaces, visitors, mail, meeting support, and general workplace requests.
  • Serve as a helpful first point of contact for routine employee questions related to the office, facilities, supplies, and operational processes.
  • Coordinate with vendors, internal partners, and building contacts to support timely resolution of workplace needs.

Employee Self-Service and P&C Operations Support

  • Maintain employee-facing instructions, resources, forms, and reference materials so employees know where to find information and how to complete common requests.
  • Support P&C operations by documenting procedures, organizing shared information, and helping ensure routine processes are clear, consistent, and easy to follow.
  • Respond to routine employee and partner inquiries, escalating sensitive, confidential, policy-related, or unusual matters to the appropriate People & Culture resource.

Travel and Corporate Card Administration

  • Provide administrative support for global travel and corporate card programs, including routine user access, account maintenance, applications, changes, cancellations, and employee questions.
  • Maintain accurate travel and card records, reports, contact lists, procedures, authorization documentation, and approved account changes.
  • Coordinate with program owners, vendors, Finance, and internal partners to resolve routine questions, billing or account issues, and process updates.

Records, Reporting, and Process Improvement

  • Prepare, update, and maintain reports, trackers, and documentation needed to support workplace operations, travel, corporate card administration, and P&C processes.
  • Identify recurring questions, process gaps, or opportunities to improve instructions, workflows, reporting, employee communications, and training materials.
  • Handle employee, financial, travel, and operational information with confidentiality, discretion, and sound judgment.

Required Qualifications

  • 5 years’ experience in office management, workplace operations, administrative support, HR/People & Culture administration, travel administration, corporate card administration, or related role.
  • Strong organization, attention to detail, follow-through, and ability to manage multiple requests, deadlines, and priorities.
  • Clear written, verbal, and interpersonal communication skills, with a service-oriented approach to supporting employees and internal partners.
  • Good judgment, discretion, and ability to follow defined processes, maintain confidentiality, and escalate issues appropriately.
  • Comfortable learning and using business systems, including travel tools, card administration platforms, dashboards, reporting tools, Microsoft Office, and Microsoft Excel.
  • Ability and willingness to work on site during established business hours and provide reliable support for daily office operations.
